Entering Scout's advancement information from a previous troop

My son and another Scout friend transferred Troops about a year or so ago. I am the advancements chair in the current Troop. They are both working on their Eagle Projects and I am working with them to make sure all of their advancement and activity information is complete in Scoutbook.

The Advancements Chair in the previous Troop did not log individual dates in the rank advancements sections so the history report only shows a “date completed” The previous Troop also did not utilize the activity logs or anything else so they both show very limited activities as of right now. I cannot edit any of the rank stuff to include the requirement dates from the books and I am not able to enter any activities or service hours or anything prior to their time in the current Troop even though their start dates are well before that date.

I know it may not be everyone’s preference but I would like for their Scoutbook records to be as detailed as possible. Is there anything I can do to get these details entered?

@AmyMusser One thing I see is that you are both “Mother of” and “Son of” your Scout, which sometimes causes issues. You can ask your local council to use their Registrar Tools to temporarily remove you as parent, then add you back again.

Another thing I see is that some of your son’s leadership positions are not approved in Scoutbook (legacy). A Troop Admin can approve them.

If you post the member ID number for the other Scout, someone can take a look.

@JenniferOlinger Thank you for the response. It is not only my son that I cannot edit, it is the other Scout that transferred with him as well. I was able to add in Service Hours and Camping nights but I am not allowed to enter Leadership Positions and add Rank Requirement details. I am getting an error about not being in the current organization or something like that. His ID is 130800618. It is appearing that he has never had a leadership position since he started Scouts BSA. We used Troopmaster at the other Troop so none of the logs were ever updated in Scoutbook.

You should be able to enter leadership positions in the current troop in Scoutbook (legacy) or Scoutbook Plus. The individual rank requirements I don’t think you will be able to enter unless you start at their highest rank, unapprove it, remove the date completed, and work your way backwards to each rank in order.

I was able to get a couple of the most recent leadership positions logged for the other Scout but the quartermaster one should be for our previous Troop and I don’t have the option to change the Troop. The other positions I am not able to enter at all andni get an error message that says

“User with not current registered position - userid: 8119430”

I can only assume it’s because we are no longer with that Troop which is frustrating because we transferred on not fabulous terms and the Advancements Chair before me was a little slack. I know now I should have audited the records in more detail when we transferred and I was still linked to that Troop.

The Eagle Application, which is the only place POR is listed for rank, does not ask what unit the position was in. Star and Life just have a date saying the POR requirement was fulfilled but a POR does not have to be entered into Scoutbook.

There is no provision to add POR for a troop a Scout is not currently a member of. You can either record the position in the current unit or not record it at all.
