Can there be a way to cleanup scoutbook in a faster method than waiting for families to drop off annually. moving them into a space that doesnt allow them to be chosen for advancements and ways to filter when selecting for campouts/hiking, etc?
The way it is now, i have youth that are on the list that have not been active for over a year and stil show on the list. i have to filter around both youth and parent when selecting activities.
One thing we’ve done is to assign such scouts to an “inactive” patrol/den, then select scouts/parents via selecting only the non-“inactive” subunits, plus selecting all scouters. It’s an imperfect workaround at best.
You can Opt Out individuals and then select Immediately in SB+
And after opting them out, turn off Opted Out on your roster filter.
that’s a current feature? can you show me a reference document of where is currently set. I as the Committee Chair do not have that feature, nor can i see that as a feature.
In SB+ Roster there is a Dropping column to the right
Then if you select dropping there is a pop up
i dont have the access to mark them as opted out. this also doesnt completely filter as my original intention. i want to remove opted out youth and families as well from the activity log portion. and even if “opted out” they still show on that list.
if already in renewal that is a different story. If they are opted out at end of term then they will continue to show.
@AaronBlender - I move all non- renewal to a patrol or den named for that purpose.
see thats my request, they will be marked as opted here at recharter time. but i want to do it sooner than that. because i know more information than the system does. and at a faster pace.
as well as within the activity logs. no matter how they are filtered you cant remove those names when selecting campouts and other activities
There is no way to opt someone out at the unit level for those in renewal already. The council registrar might be able to do it. I would be surprised if national implemented a process to mark someone as dropping inside their renewal window, since they obviously differentiated that for the original development (thus the specific error message). You would likely need to push for that with national via your council professional scouters, since there’s likely a national policy decision underlying the differentiation. The SUAC volunteers here can pass along requests for SB±related items, but once it hits registration or policy, those have to be escalated via your local council staff, since the teams handling those issues don’t take requests/reports from the SUAC.
For those not already in renewal, the Option 2 would drop them “immediately” (i.e. after the 24-hour sync period) as noted in Donovan’s screenshot.
Scouting America will not remove someone from your roster as long as their paid registration is active unless they transfer to another unit. For youth that age out, registering as an adult in another unit will also move them off of your roster.
@AaronBlender - and a point of order… it is no longer recharter. The members have a renewal and the unit has a renewal and they are independent. The maintenance of the roster is an on-going process. You would have to opt-out non-renewing adults and youth prior to their respective renewal cycle.
