Member Registered Beyond the Age of Eligibility Not Showing in Scoutbook Plus

Greetings!

We have recently registered a member beyond the age of eligibility.

His registration shows in our Unit Roster in my.scouting, but we cannot see him in our Scoutbook Plus roster (for messaging, advancement tracking, etc.)

Is this something you can fix, please?

His PID is 134470493

Thanks in advance!

Scouter Rob

@ScouterRob in SB+ Roster > Filters > make sure 18+ Participants is checked on

Thanks, @DonovanMcNeil !

I had checked that, but that was not the issue.

So, to further clarify, we have Scouts who turned 18 this year, whose registrations are still good, but they have not filed adult applications with the Troop. In my.scouting, these members still show as “Youth Member”, but in Scoutbook Plus, they show as P 18+, and are toggled on or off by that feature. A few examples for comparison are PIDs 131337112, 133253943, 135826552, 136447506. All these Scouts turned 18 this year, have not filed adult applications (yes, I know that is sad, but that’s another story…), and have registrations current until 31 Dec.

The Scout in question (134470493) turned 18 this year, and, per registrar instructions, had to file a paper application with the council, after his RBAE paperwork was approved. He now shows in my.scouting as a “Unit Participant”, with registration valid until 31 Dec, but his record shows nowhere in Scoutbook Plus, regardless of the filters applied.

This is our first foray into having an RBAE member of the unit.

The Registrar does not know why he is not showing in Scoutbook Plus. Until we are able to see and track his continued advancement on Scoutbook Plus, the registrar instructed us to file Advancement Report forms for him to council. This is a workaround, and a much less than desirable outcome…

A few questions for you…

  1. Can you see the record for 134470493??

  2. Do you know of any other units who have “Unit Participants” over 18, who can see their RBAE Scouts in Scoutbook Plus?

  3. Can you shed any further light on this?

Thanks,

Rob

I do see them in the backend system. Have you tried clicking the “reset filters” button? Even though everything in the filters looks right, that has often helped.

They are registered as a unit participant - I would do what Jacob said and click RESET in Filters no matter what is checked off

I “Reset Filters”… no joy

@DonovanMcNeil , what does the “Is Special” column mean? DM me on that one, please

@ScouterRob ok an odd question - if you go to Quick Entry do you see the scout?

Yes, listed all the way at the bottom under a category labeled “Opted Out”

How do we opt him back in?

I can also see his former Scout Account payment records under the historical, with the youth icon still showing

OK that might be good data

But, former Scouts who are now adults (not in unit) show same youth icon…

And, two former Scouts who are registered as adult leaders show their correct Adult icon.

That might be a rabbit hole

@ScouterRob - for the payment log that seems logical as they had been youth when the log applied to them

Stephen, yes, but now that he is an adult, with an adult application in to registrar, and a status change, it seems as though he should also have the adult icon, like the other two Scouts mentioned above… but that is a minor issue (no pun intended.)

I do see him in the Messaging application as a Recipient under the Selection via Youth tab, with the label of Participant (and a youth icon.)

OK, folks!

Don’t know what buttons you pushed, but this young man now shows in the SB Troop Roster section as P18+, Youth icon, and I can access all of his advancement records.

Messaging list still shows him on Youth list as “Participant”, as it should be.

All seems right with this now. Thank you so much!

Could you let me know what you did to fix this? Our registrar is quite curious  Is this something they could do?

We are not 100% sure - but a Sync from AKELA resolved it. It is being investigated.
