Records / Events not migrated when merged into Family Troop

Our troop recently merged into a family troop. I’m a bit concerned that after 9/30/2026 the Girl troop is going to fall off my viewable troops in Scoutbook Plus (I’m key 3) because we won’t recharter it.

Right now, the issue is that NONE of my girl scouts’ records migrated. ID 141637521 is one example. So I can only see their activity records when I check “Include Scout activities from other units.” I’m worried this means that once 9/30/2026 passes, all of these will disappear and remain uneditable.

I understand the logic of one unit being not able to edit another unit’s records. But technically both were our units! I also see from archives that the records don’t disappear, they are always linked to the scout. But my issue is that I want to be able to EDIT those activity logs because we always manage to find discrepancies or mistakes in past activity logs.

Is there any way to ask council to still give us access to our old units? Or is my only recourse to painstainkingly go back and enter these events manually into my family troop records? Is it possible to open up a ticket with National to migrate the records for us so that the calendar events and activity logs just show up as a family troop record for specific scouts?

Thanks

Nancy

Well it is another unit on Logs and calendar events - if you go directly to the Scout Profile it is all there correct for the logs.

Yes. I know. But I as an admin can no longer edit these logs because it technically, in the system, belongs to another troop. But really, the whole point of merging of merging troops should be to merge records as well. We’re not transferring a scout from one troop to another, it was advertised to us as merging. But the records didn’t merge. It just migrated with the scout who got “transferred”.

@NancyLin - I think you need to work with your council registrar on this. I would not add any new log entries as that may well produce duplicate records.

Can you tell me what the council registrar’s role is? Because when I opened a ticket with them all they did was to open a ticket with National

But it DOES belong to another troop. That is the system. SUAC has tried to address it but there is no clean line, cause not all units merge the same.

The registrar, among other things, is responsible for registering units and managing registrations for individuals. However, some issues they either don’t know how to resolve or don’t have access to resolve. They are often also the official channel between the volunteers and national for support, since national discontinued direct volunteer access to national support years ago.

I think there might be a story to deal with past units events for scouts - but I do not recall exactly what it is

I can see there is always 5000 different ways people want to do this. But for the troops that traditionally were joint troops but really acted as family troop, does National offer an option during the merging process to actually merge records? Or is it that they really can’t do this due to technical constraints. I’m just trying to figure out what is doable and not doable so I know how to take care of it on my end. Though I wish National also actually made this point very clear in their Family Troop conversion FAQ.

Got it. So I did contact the registrar. She just opened a ticket w/ National. National said it was a permission issue and will be fixed in 24 hours. It didn’t get fixed. In my dealing w/ national, the responses are slow because I’m going through the registrar and the registrar isn’t super quick with followups either. All of this to say this is why I was hoping some experts in the forum can just tell me how it typically works! I just need to know the capability of the system to see if I even need to insist the registrar submit a ticket or how to word the ticket request.

@NancyLin - we are all volunteers here and I am not sure how many have gone through the unit merge process.

Gotcha. Thank you then!

Well the issue is it is not a merge. It is an end at least one of the units. In most cases one ended and the other survived, but we have also seen where both ended and a new one was started. It is not simple. The individual scout info is still there, it is just more troublesome from a unit view.

@NancyLin Our units went through this 6 months ago: we were separate B & G troops and “merged” into an F troop (the B troop became the F troop and the G troop went away).

After the merge (which, as folks here have pointed out isn’t technically a merge–it’s the B troop changing to an F troop, the G troop ceasing to exist, and the female Scouts transferring from the G troop to the F troop), we lost the ability to edit activities from the “other” troop.

Ultimately, this is no different than how SB handles activities a troop Scout’s activities in their pack (even when that pack still exists and I’m also an admin there). All that to say, this is a feature not a bug–there’s no fix. This is very much a Do Your Best situation with keeping activities correct. On the bright side, hooray for another F troop–congratulations!
