Who can edit "Position/Roles expired" and messaging MBC

Besides the good people of the Scoutbook User Advisory Council here, who can edit the “Position/Roles expired” status on Scoutbook Plus? Can someone in the troop have permission to edit this, or is this only accessible through providing BSA #s here? We have both active leaders and past leaders who are not part of the troop with the red “Position/Roles expired” next to their names.

Another question (is it better to create a new thread?): Through Messaging on Scoutbook Plus, is there any way to add a Merit Badge Counselor when emailing everyone in the troop?

What happens after we “Assign Counselor to Youth”? Would that counselor be able to send emails through Scoutbook Plus to that youth and their parents?

Thank you!

@NadezhdaAnikeev - on your topics:

  1. I do not think that the SUAC can edit the position/roles expired

  2. As an MBC I can message scouts and their parents via the mbc dashboard

@NadezhdaAnikeev you mean message an MBC not in the unit?

We would need the member ID numbers to look at specific cases.

Our troop pays pays for our MBCs, $25/year, but some of them are not leaders in our unit, nor a parent in our unit, just community volunteers. We have one particular MBC, who has been with the troop for years, since his sons were in (way before my time), he is not a registered leader with the troop anymore, but shows up quite often to lead the MBs and consult on Eagle process, among other things. The troop would like him to receive the weekly newsletters at the same time everyone else does, not as a separate manual forward. Among other things, weekly newsletters contain information about meeting plans and changes (like times and location changes, etc), so it’s important everyone gets them.

Thank you. I know. I’ve seen these sort of issues resolved here. I was wondering if this is THE place, or if someone in our unit could do it.

@NadezhdaAnikeev - a merit badge counselor is not a unit position or registration it a council/district position. The message system will only send to those who are registered through your unit.

How are you paying for MBC when they are not on your roster in my.scouting.org ?

@NadezhdaAnikeev It depends on the reason behind why the position/role is showing as expired.

Just like we’re paying for anyone else in the troop - by sending an email to the person responsible for it in Council.

A couple weeks ago the troop got a debit card from the bank, so we might explore online options to pay.

Arguably, if the troop wanted them to appear on the roster, they could dual-register them as unit scouters (e.g. unit scouter reserve), but that’s a higher registration fee cost than just MBCs. Otherwise, as noted by others, MBCs are not a “unit” position, regardless of who paid for the registration fees. Therefore, they won’t appear on the roster or be available in the drop-down list for messaging/invitations. The unit likely needs to decide between added cost for different registrations and added manual work to forward things to them via a separate pathway (e.g. unit secretary manually forwards all invitations, etc to the “unit-affiliated” MBCs).

One of the expired ones is an active member - an Assistant Scoutmaster + he manages all the troop finances. In Scoutbook plus his ID shows as 129827450, and in my.scouting.org as 142060180 (expires 12/31/2026).

Thank you. The picture is clear now :). We will discuss how to proceed at the next committee meeting.

This adult leader is currently registered in 2 councils.

Is he active in both?

@NadezhdaAnikeev - i suggest that you and the unit committee read the guide to advancement especially starting at 7.0.1.2

Yes, he is active in two councils.

@NadezhdaAnikeev I have requested that a new Scoutbook account be created for this user. It should be created as part of an overnight process.
