Add/Connect Adults with accounts

I am stuck in a loop to add adults. They have a profile but when I search it says “No record found that satisfies the search criteria.” I know they have a profile. Then I try to add them as a new adult and it says “We found at least one user with the same first and last name. Please review the search results above to see if the user already exists.” How can I get adults connected? It’s not just this adult. It happens to any I try to add. thanks!

You are trying to add non-leader parents?

Both leader parents and non-leader parents. This morning was a leader parent. They are not connected to our Pack at all right now. Also this has been going for several months and with different adults.

What is this leader MID?

I am unsure at the moment. I have reached out to them for that information. I was searching by name and email (which has worked in the past).

The unit-level leaders should be showing up on your official roster at my.scouting. Until they appear there, you won’t be able to add them with leader roles in Scoutbook.

What about connecting a second parent?

The most reliable workaround is, if the parents have a my.scouting.org account, is for them to log into Scoutbook with their ID and PW, navigate to My Account → My Connections then click the “Connect to Scout as Parent/Guardian” near the top of the page. The parent will need the Scout’s BSA Member ID, last name and date of birth to connect.

If the parent does not have a my.scouting.org ID, they should create one then use the process above.

Alternately, you can ask your Council to add a connection between the Scout and parent in Registrar Tools. About 24 hours later, the Scout & Parent will be connected. The parent will still need a my.scouting.org ID to access Scoutbook.

If the parent is in the unit already by a position or another Scout you can use Connection Manager under Roster, then go to the connection and click the Parent Checkbox

I actually just was working on a similar situation where twins were set up and whoever created their accounts accidentally duplicated the parent using two different spellings of their email address. I was able to use Connection Manager method described at the bottom to add the “good” parent account to the second scout. (I still sent an invite to connect once the good account was on both scouts)

Is there any way to remove the “bad” account? I tried to delete the connection but scoutbook crashed during the operation. (The “undesired” account is under MID 14502623)

Is there any way to do this on our end? Or is there a better way to set this up in the first place? I think our NMC added the new scouts and parents manually if they handed in paper applications.

I was able to connect a parent using this method, however I don’t see his contact information in Scoutbook (e-mail address, specifically) and his son doesn’t show up on the ‘Send Message’ list. However, when he logs into Scoutbook and looks at his profile, he can see his contact information. Any advice?

This parent has 2 Scoutbook IDs and 2 my.scouting.org IDs. One has the user name 31. The other uses Apple ID as login. He needs to decide which ID he wants to use and we can have the other retired.

I have merged the Scoutbook accounts.

Can you please retire the Apple ID login?

@MichaelCasella I recommend that you do not create Scoutbook accounts for new parents from within Scoutbook. What works better overall is if parents go to my.scouting and create their own parent account.

The parent whose name is on the youth application automatically gets a BSA member number when the application is processed, so all they need to do is try and connect to it when they create their my.scouting account.

Thanks for the feedback. Is there a guide or reference that can point us to the best way to do this? I am still concerned about issues linking up or creating duplicate accounts because the “Add connection” feature doesn’t work.

From what I understand, the parent/scout accounts were manually added by our NMC because we received paper applications and wanted to get them on our pack emails while they processed at council. I don’t know if she knew that she was setting up duplicate parent accounts in this case.
