Recording Activity for an Event Features

I have found recording camping/activity data to be particularly difficult since the transition.

For a camping weekend, for example - I have those that RSVP’d Yes. And I have those marked as Attended. Then, when I go to record camping or hiking or service, it resets to the full Troop list. So, I need to go in and delete the ones that didn’t go/didn’t RSVP Yes. Making this more difficult is that the names are sorted differently on each screen. On the event screen, Attendees (based on RSVP yes’s) are sorted by Last Name. But when trying to record camping, the names are sorted randomly (or I can’t figure out how they are sorted - it isn’t by first or last name). So, it isn’t easy to delete because I need to refer back to each full list each time I check a name and if it’s long, I lose my place and make mistakes.

Is it possible to default those on the Activity Recording screen those that were RSVP’d Yes? If not, is it possible to sort the same so at least if I need to delete everyone, I can go in the same order? It would make it so much easier if they were at least sorted the same.

Also - when it was in Scoutbook, when recording Camping, on the “Groups” tab - I could default 3 days, 2 nights (for example), and then when I went to “Individual” tab, it would transfer the group data and then I could adjust manually the 1-2 scouts that maybe only slept 1 night. I would really love this feature to return!

I am happy to share screen shots privately with the team, but because we’re talking about the names of minor’s, I don’t want to share in this post.
Thanks! Megan

@MeganPirchner thers is a backlog story for this already created

How do I find the backlog? Nothing appeared when I searched.

@MeganPirchner - that is not published

well and relying on RSVP would not be as accurate as Attended - but there is a story to try to clean it up - it is just not as simple as it sounds when applied to units.

Totally understand - I have an IT software background - but returning to the (sometimes) very large Troop list isn’t the optimal answer. Fixing the sorting would immensely help the work process while figuring out the coding to drive the roster/rsvp/attended flow.

The story in the backlog is to use attendance of it was taken or RSVP if there was no attendance recorded and RSVP was enabled otherwise use the full unit list.

We will look into the sort order and request it be fixed if necessary.

The current sort order for the activities is Scouts and adults in a single list sorted by last name then first name. I have asked to have a story opened to use the same sort as the calendar.

Ed - Thanks.
Maybe I have a bug then - because I did have Attendance marked and it still defaulted back to the full Troop List. I’ll see if I can replicate the issue again after tonight’s meeting and record screen shots.

@MeganPirchner

As stated previously, there is a story in the backlog to change the initial list for activities so that if attendance is taken, it uses that, otherwise the RSVP yes list. If RSVP is disabled, the full unit. We do not know when this will be scheduled for work.

OK - I’m trying to show screen shots, but want to keep names private, so feel free to contact me so I can share them privately.

I am trying to record Hiking for a past event.

I have 16 RSVPs yes (RSVP Yes.jpg)
I have marked them as attended (Attended Marked Yes.jpg)
When I go to record Hiking, the full list of Troop is still there. (Activity List – Full Troop.jpg)
And I can say (without sharing a screenshot) that my troop list when going to record Hiking Activity is not sorted by either first or last name.

@MeganPirchner

This is working as designed. A future enhancement will change the behavior to use attendance or RSVP.

Sorry - thought you meant that the functionality already existed. Please consider this another vote to fix this. Current functionality makes my volunteer life complicated.
