Scoutbook plus new advancement workflow is not helpful

As a Unit Advancement Chair, I want to record that a Scout has earned a rank.

In May, I would navigate to the website, select the Youth(s) and click “Record Advancement” or something similar.

I was asked 4 items

  • Rank/MB/Activity
  • Selection of Rank prompted the next drop down and I would select Tenderfoot
  • Final selection was a date
  • Click Record and Close or click Record and select another advancement

4 Clicks and done.

New workflow

Select Youth. Nothing new to modify records appears in menu bar shows so click Unit quick entry.

  1. Select Rank Advancement in dropdown
  2. Select actual rank
  3. Select a version
  4. Click Apply
  5. A list of all my scouts (40+) are shown. The one I selected in step 0 is not selected but I reselect my scout
  6. Click Select All
  7. Click Completion Date
  8. Click Mark as Approved
  9. Click Apply
  10. Wait
  11. No error is displayed but neither is the screen cleared nor is the page directed back to the Roster as one would expect
  12. Go to classic scoutbook thing to pull up Individual Advancement Report and 10/11 items are set to completed but not the Scoutmaster Conference so they are not recorded as Tenderfoot

What are the key take aways?

  • The new workflow is cumbersome and not conducive to managing a large troop with the 3 fold increase in data entry.
  • There are defects in the process as noted by the above screenshot.

@WilliamFellows not sure why you are using quick entry? The SMC is a known Bug that is being worked. If you go To Scout > open rank > you can enter requirements here Or just a final overall date > OR at top there is a Quick Entry for just that one Scout that can be used.

Pretend I am a casual and not a team member. What is SMC and how would I know it’s a bug?

If I click on the scout and not select them, I’m directed to youthProfile. I click the TenderFoot rank (is that “open rank”?) I then have an option to set a final completion date, similar to what I described as the classic workflow from May.

However, if I was trying to award N Scouts, the same rank on the same completion date, which is common in our Troop for Scout to First Class, then I’m looking at a linear increase in the number of clicks I have to perform for a formerly simple task.

I no longer have a Quick Entry at the top of my navigation bar. This is what I see when I select a Youth.

Should I have a different set of options showing?

@WilliamFellows- you have Unit Quick Entry in the gray bar just above the roster. Additionally, there is an advancement tab that can be used to record advancement items. If you entering an item for a single scout click on their name.

Correct, “Unit Quick Entry” is 12 step process.

Previously, there was a “Quick Entry” which only required 4 steps to record data that could span multiple Scouts.

@WilliamFellows- On your 4 step process you are referring to scoutbook classic ? In that you would set an overall rank as completed ? You did not clarify that.

The 4 step process was in Scoutbook Plus aka https://advancements.scouting.org/roster#roster but it is no longer present.

Perhaps I am the only human being that used the functionality

I suppose it’s possible that the workflow I remember is under “Unit Quick Entry” but has been changed to go from simple to what I view as overly complex.

SMC is Scoutmaster Conference. There are multiple forum threads saying this is a known issue.
