Den Admin can't enter advancements in Scoutbook+

All-- I have great news! I tried my usual test of the system today: Quick Entry of the Swimming Adventure from the Unit Roster (WITHOUT “Approval” selected) for all four Scouts (rolling the dice & including my child) in my AOL Patrol-- and it worked!

I THEN tried to repeat the same process (Quick Entry from Roster) for the first requirement of the Summertime Fun Adventure for all four Scouts WITH approval… and it ALSO worked!

The trouble, now, is that my Cubmaster gave me Pack Admin status yesterday, so a significant variable has changed. Did the two Adventure entries work today because of a fix, or because I have a greater admin role?

@tristandalley - i am not sure if a fix was implemented as that is usually announced in the change log. My suspicion is the pack admin role. The only way to verify that is to remove the role and try similar actions on a different item.

@tristandalley Most likely it is because you are a Pack Admin now.

Snap. I was really hoping to be able to contribute to finding a solution.

On a side note, I tried @DonovanMcNeil 's suggestion (from a separate thread) of “Go to unit Roster in Scoutbook > Click your name > click Den Admin > click Update” to see if that solved my being able to approve awards… I did it to my “Den Admin” status, even though I now have Pack Admin… Sadly, I am not yet able to approve awards, per this screenshot-- still listed as not having edit advancement permissions.

After this, I DID go through each Scout in my Patrol via the Roster in Scoutbook, went to Connections, found my name, and clicked Update (without changing any settings, as I already had “Full Control” to edit, per that page), but that did not change anything-- I am still unable to approve awards.

I know that Donovan said before that it can take a new role 48 hours to promulgate though the system… maybe my Pack Admin status will allow me to approve Awards tomorrow?

Still sad that I can’t contribute further to solving any AOL Denleader’s problems, now-- even as I’m stoked that I can finally approve Adventures!

@tristandalley - the above example make some sense as you do not have a webelos den but rather an AOL den so no webelos to award.

Interesting… Makes total sense! I went down the list, and tried Quick Entry on all of the Awards, to see which I could, and which I couldn’t approve. Most of it followed the “what kind of den do you have” theory, but here are some outliers:

  1. I cannot approve a Whittlin’ Chip (theoretically available to all):

  1. I cannot approve ANY general Nova award (granted, this may be from a lack of certification);

  1. But I CAN approve a Webelos-specific Supernova Award for my four AOLs:

Crazy, right?

The places where this hits home to me (IE where I had Scouts working on Awards prior to June 1st that I’d like to approve & award before the end of the month / the end of the old Scoutbook) are as follows:

  1. Nova CS – Uncovering the Past
  2. Outdoor Activity Award v2015+ (Webelos)
  3. World Conservation Award v2022 (Webelos)

Sadly, I can’t approve any of these three.

And, while I recognize that timeliness is important (and touched on by trustworthy, courteous, and obedient), and that they should’ve finished Webelos Awards while still Webelos… they started & ALMOST completed their World Conservation Award whilst they WERE Webelos-- our Advancement this year was less than a month ago.

In many ways, while having done the work is the most important thing-- we pursue ethical and moral goals, and there IS reward in doing the right thing (as well as being prepared by our experiences to do the NEXT right thing)… I’d like to try and additionally reward them with the embroidery that symbolizes those acts. And I’ll probably do that, regardless of whether the official record shows that… but the same perfectionist in me that wants the tent lines TAUT wants to see the official record show it, too. :stuck_out_tongue_winking_eye: :crazy_face:

Came here with a similar issue… Parent nor child is able to save advancements on the web or the app… appreciate any info on whether this is a bug or a configuration setting at the Pack level. Thanks! - Deborah

@Deborah - in scoutbook+ please toggle the rank version year to solve the not found error

I don’t know if that fixed it, but it’s working now… I changed the Requirements Version from 2024 (Current) to an older version, 2022, then changed it back to 2024 (Current).

Now I can save achievements on the web version (app still not working–Den Not Found).

@Stephen_Hornak , would it make any sense to temporarily create a Webelos den, add the AOLs in question TO that Den (while leaving them in the AOL Den they’re currently in), award them the Award, and then dissolve the temporary Den? Or will that cause all kinds of havoc?

@tristandalley - you can certainly give that a try. I know I have moved scouts around to allow for updates like this. I would think that leaving them in both could be problematic. I would move them to a new den, update the award then move them back.

Stupid question-- since this is a problem with Awards, which are theoretically only being handled under Scoutbook, should I move the Scouts around IN Scoutbook, not Scoutbook+?

Same DB. Moving them in one moves them in the other.

It could be Awards in SB don’t properly handle AOL dens.

Rather than moving them to a different den, just edit the den and move it back to Webelos temporarily.

@jacobfetzer totally! I tried moving one scout first (which totally did the trick-- I was able to add their Conservation award)-- then I moved that individual back, and changed the whole AOL Patrol into a Webelos Den-- which worked similarly for the next Scout. I’ll remember that trick going forward!

I have been trying to put advancement in for my 2 dens; I am a den admin for both and every time I try to do the bulk addition, I ALWAYS get an error. I can go individually and add them (had issues with the API error and couldn’t add it on some members), but that takes WAY too long to do that.

I know some scouts have earned the older version of the award(s) [i.e., Engineer last year, but ‘earned’ it again this year]; does that affect things? I also cannot add the new awards, like BB or Archery.

I have gone back and re-accepted the den admin position. Everyone is ranked up (spouse is COR and did that). Not sure what else is the issue. Thanks.

No, unfortunately it is not working. In addition, those scouts where I can’t mark any of their advancements are listed under 2 different ranks! When I log into scoutbook, they’re both labeled as Lion although assigned to the Tiger and Wolf dens respectively. In the Scoutbook plus, they’re labelled as being in the correct ranks, but then I cannot mark any of their rank advancements. I can’t see how to change their rank either, other than reassigning their den. But since they’re in the correct den, I cannot change that.

actually, they’re somehow both listed as Lion, it seems, as I can only mark those advancements. They’re however Tiger and Wolf
