Getting Error: "Date Joined Scouts BSA is missing or some activities are before this date. Results may be incomplete.""

I am running the Activity report in Scoutbook Plus and get the error “Date Joined Scouts BSA is missing or some activities are before this date. Results may be incomplete.ref: PD-20251118204218-118486-576153

When I look any particular scout record, their join date field is populated correctly, but the report lists all of the scouts as missing join date. I have selected the check box “Include scout activities from other units”, but that does not make a difference. The error still appears. Why is the report not picking up the join date when there is one in their profile?

@StephanieGellar- i am seeing the same thing but I am getting accurate report data for activities. The same notice is on the OA report so I have ignored it.

Most of the data is accurate, except for the OA eligibility. Even though join date fields are filled in on the scout profiles, none show up as eligible on the reports because of this error. Is this a bug or am I missing something?

@StephanieGellar- I just checked the OA report for my troop and the data is accurate along with the activity report.

OA Requirements:

Membership Requirements

Unit elections are permitted in Scouts BSA, Venturing, and Sea Scout units. The Order of the Arrow membership requirements are as follows:

  • Be a registered member of Scouting America.

  • Have experienced 15 nights of Scout camping while registered with a troop, crew, or ship within the two years immediately prior to the election. The 15 nights must include one, but no more than one, long-term camp consisting of at least five consecutive nights of overnight camping, approved and under the auspices and standards of Scouting America. Only five nights of the long-term camp may be credited toward the 15-night camping requirement; the balance of the camping (10 nights) must be overnight, weekend, or other short-term camps of, at most, three nights each. Ship nights may be counted as camping for Sea Scouts.

  • At the time of their election, youth must be under the age of 21, and hold one of the following ranks corresponding to the type of unit in which they are being considered for election: Scouts BSA First Class rank, the Venturing Discovery rank, or the Sea Scout Ordinary rank or higher, and following approval by the Scoutmaster, Crew Advisor or Sea Scout Skipper, be elected by the youth members of their unit.

  • Adults (age 21 or older) who meet the camping requirements may be selected following nomination to and approval by the lodge adult selection committee.

Could you clarify which report and how you accessed it? I am seeing similar issues for several reports.

@jacobfetzer- here is what I see on the activity log report

Yeah, I saw that on the unit level activity log through the reports menu. I was wondering if there are other paths/reports that have a similar issue.

I see this in the Activity Log Report. Everyone shows up as needing a date.

However, now when i go into the OA Eligibility report, it looks like some scouts (the same ones on the above list), have join dates. See here:

I checked those without join dates and those do appear to missing in their profiles. So the OA eligibility report seems to be correct about join dates. But something is definitely wrong with the Activity Log.

@StephanieGellar- if you go to the scout profile does it show activities that are not on the activity report. My activity report is spot on.. so something might be amiss with the entries in the scout or unit record.. I enter log data from the unit event and the scouts enter things they do outside of unit events on their own but they need to be approved to show up in any reports

Activities are fine, but the Join date is the one field that I find puzzling on the Activity Log. It says Set Date even though it is present in the Scout profile.

I’ve reported it to the developers

@StephanieGellar The developers have implemented a fix.

@jacobfetzer - i can report (no pun intended) that the notice of date joined shows up at the top of the report. @StephanieGellar - the notice at the bottom with the REF is a disclaimer or warning so not cause for concern there.

Seems to work, thanks! The scouts who had the dates set in their profile are no longer listed as needing to set their join date.

@StephanieGellar- I use the OA report as my cross check to make sure I have a date joined entered
