Hi. Can anyone tell me why I can’t see our new scouts on the roster in IA2? I actually did see their names once or twice when I logged in but not now. When I did see them, I noticed that the fields for Council, District, and Troop were blank. And, I noticed that my designation was Committee Member and not Unit Advancement Chair. Any ideas? I’ve put in a question to the district office but no reply.

Unit Advancement Chair is a Functional role that erases every year in my.scouting.org > Unit tools > Organization Security Manager - a Key 3 needs to make sure you are assigned that role
Hmm, that’s what I thought. Our committee chair should be able to do that, right?
@SusanGarcia1 yes - you might be able to see it under your profile in my.scouting
Please be aware that functional roles such as Unit Advancement Chair and Key 3 Delegate will expire at the end of your unit’s charter year (December 31st for most units). One of your unit Key 3 will have to add you back again after your council has processed your unit’s recharte.
My profile says Unit Advancement Chair, and I can only see the usual scouts on that roster. I can’t see our new girls. I’ll see what our comm chair can do. Thank you!
If their names are not showing up on the Member Manager roster at my.scouting.org, then that probably means that your council needs to process their applications.
I did, indeed, see their names, but I was designated as Comm Member, and the Council, District, and Chartered Organiz. was left blank under “My Organization.” I was able to see them only a few times, but not now, so I don’t know what is going on.

That is an odd behavior. There should be some sort of indication that these “rights” have been dropped. Is there? It shouldn’t happen “behind the user’s back”.
@Matt.Johnson - the delegates have had the roles expire with charter for the last 10 years that I have done the recharter process. I have to ask a key3 to re-add me each year. If you think about it the process does make sense.
I don’t see how it makes sense if the charter is renewed on time.
How are you thinking about it where it makes sense? That the person could have a new role when they are reregistered? Like go from SM to CC as an extreme example? (I’m not being a jerk, I really want to know your perspective)
@Matt.Johnson - the key 3 delegates are appointments by the key 3 members and not specifically done by application and are independent of the recharter roster. Those designations are not captured by the positions on the roster. Advancement chair for example does not have a code designation other than MC (committee member) and the position is subject to the approval of the CO. It should be part of the recharter discussion as to who will have those optional positions. I am not sure if this is truly clear but when considering that right hand side of the Organizational Security Manager is optional is where I consider it within the rights of the system to reset them each year.

As a K3D, I can tell you that my Key 3 didn’t know the option existed until I brought it up. The main goal of setting me up as a delegate was to facilitate my role as the Scoutbook admin. Before, I spent a lot of time asking questions like “Has Johnny Scout or Laura Leader appeared on our roster yet?”. Now, I just log in and check the roster myself, so I can make sure Scoutbook is updating properly.
I can see how units and chartering organizations would want to affirmatively confirm anyone with Key 3-level access in his or her position. The actual Key 3 are confirmed at recharter by submittal of applications/recharter paperwork. Why should someone delegated that access be less subject to annual reconfirmation?
I don’t mind a reconfirmation. I do mind lost access with no indication other than “oh, yeah, everyone gets reset after re-charter”. Like you said, the key 3 get re-affirmed, but the others just get dropped and you have to re-add them. To me that is a big difference user interface wise. One is action based to re-affirm, the other is done without user involvement.
@Matt.Johnson - as this is not monitored by those who can make a change in the process, you may be best served addressing your concern to National Council. I just know that every year I have to have a key three add me back as a delegate… never a big deal but I have been doing this process for a decade.

I agree that it would be a better process to handle all at once. I also do have to say that the process is better than it was 10 years ago.
Yeah, it would make sense to have that part of the electronic re-charter. Again, like others say, it does make sense to re-affirm or change positions each year. Drop without notification and re-add, not as much. Even an email that said “your delegations and other roles beyond the key-3 have been dropped, re-add as needed” would be better. That would provide “interface” to the action.
Thanks for the constant reminder that the National Council needs this feedback vs. the Scoutbook Advisory Council since your area of “decision space” is relegated mostly to interface and results of national policy and not the policy itself.
My dream would be that other National areas of Scouts would be as interactive and engaged as the SAC. The group of you should feel great about how accessible you all are and responsive.
