I have closed a few purchase orders after I marked items as awarded. When that happens, the history of the PO is marked with nothing being ordered.
In SB legacy, marking items as awarded did not remove them from the active PO.
@JasonKracht - the process should be to close the po after items are purchased then mark them awarded. If you mark something awarded prior to closing the po them there is no longer anything to purchase. It worked that way in legacy as well. Not a bug but a procedure issue
The expected workflow should be:
Enter Items > Approve Items > add to PO > Purchase Items > Close PO > mark items as awarded.
To award items in an open PO will remove the item as it no longer needs to be purchased.
Actually in Legacy Scoutbook, items were not removed from POs when marked as awarded.
The only POs in my history with zero items in them are since December 2025 (those generated from SB+) All others have items on the PO.
Forcing behavior to close POs before doing awarding is forcing us to remember to do steps that should not be dependent on one another. Once an Item is added to a PO, it should stay on that PO unless I remove it.
@JasonKracht in Legacy on Open POs - if you marked an item Awarded it disappeared in the same way. SB+ is running exactly the same logical way.
Stephen is correct, legacy Scoutbook also removed items from open Purchase Orders if they were marked awarded. An open purchase order is for items that need to be purchased. Once something has been awarded it no longer needs to be purchased, thus it is removed. A closed Purchase Order will retain items that are awarded after it is closed.
a Closed PO is a static Document. An Open PO is a Live Document.
That is very interesting that you say that. I have never seen that behavior, and all of my legacy POs before December show items still on them. I almost always closed POs when I was about to create a new PO (after the previous PO was awarded). I have no POs before December that have zero items on them in the PO history.
@JasonKracht - I have been a scoutbook user for 15 years and I know what we are stating to be true.
No matter what legacy Scoutbook may or may not have done, the current behavior in Scoutbook Plus is correct. An open PO is a live report. If an award is marked awarded or approval is removed, the award will be removed from the open PO. Once a PO is closed it becomes static and will not change.
