Adults Not Appearing on Roster Builder / Event RSVP

Where can I find information on how to manage which adults appear in my event RSVP and Roster reports? I have been working to add my youth adults for the purposes of tracking med forms and SYT (we require everyone to take it). However, now that these adults are linked they are not all showing up in Roster builder and/or Event RSVP on the Calendar. But it is not consistent from what I can tell. I also know that some adults are checked “Guardian” on the registrar side but I cannot see who those are on the leader side. Please advise so I can figure out how to fix this.

Is this for a ship/crew? I was trying to make sure I correctly understood what “youth adults” meant, and that’s kinda what I concluded (18 <= AGE < 21) made the most sense.

The best place to track training is actually in my.scouting however, the Roster Builder can list all participants and adults, and list training. There’s a radio button flag for SYT only, SYT and Hazardous Weather, and All Training (or None) on the lower right side. Roster Builder can be reached either under “New Custom Roster Report” or (I think) in classic Scoutbook from the unit page under Unit Reports Roster Builder Manager.

Some of the adults are appearing as an option to add to the reports and event RSVP and some are not. There is some kind of disconnect even after linking the adult to the scout.

Oh, ok. I wasn’t sure what a “youth adult” was, and apparently guessed wrong. :^)

So, in SB+, you can see in any given scout’s profile the connected parent/guardian listed below the scout’s name:

If a parent/guardian does not appear there, they will not be connected to the scout going forward, even though they may be connected in classic Scoutbook. If you recently connected them in SB+, it may take an overnight sync for everything to propagate, as well as forcing a refresh on your local machine to replace the stale cached data after the sync occurs.

If you are a Unit Admin, Unit Key 3/Key 3 Delegate or the listed parent, you should see the gray plus as in my snapshot. Clicking that allows you to connect the “missing” parent to the scout. It is best if the “missing” parent has (or creates) a my.scouting account/Member ID prior to trying to add them to the scout. You might want to try searching for them first using the “Search Scouting Account ID” tab in the snapshot below. Make sure that the parent uses their full legal name and correct DOB when they create their account, so that you can use the same information to connect to them.

The parent needs to be invited in order for them to appear in the rsvp lists.

Could you provide the member numbers of some adults who do not appear in roster builder? Which roster builder options are you using?

Here is one example of the adults for a single scout. All are connected / not pending.

For an upcoming event RSVP only Cory and Haley appear as an option for adults. Charlotte and Reynolds is not there.

For roster builder I can only select Cory and Haley as well.

@RachelVirden- my first guess is that the others are not primary parents/guardians

The relationship with Reynolds is a little wonky. It’s says C is the stepson of R, and R is the stepson of C. You should contact your council professionals to see if they can fix that.

Can you also confirm that when you create a new event, there is no option to invite Charlotte or Reynolds? I’m fairly sure grandparents don’t get the same rights as parents in the system, but I’ll double check.

The existing Relationship system that has been used (in my.scouting) is messy is simplest way to say it - the SB team and SUAC are trying to come up with a solution that allows units to see who they need while at the same time not cluttering everything up - watch the change log
