Calendar Entries - Bulk Remove Scouts that didn't renew from Invitee list

I have several Scouts that chose not to renew. They are now expired. Is there a way to remove them at one time from all future calendar events? We are still in the grace period (so they are unfortunately still in my.scouting.org roster), but these Scouts did Opt Out and definitely will not be registering.

Can I expect them to automatically be removed from future calendar events when the grace period is past? Or, is this possibly a bug?

Currently causing confusion for other leaders assessing RSVP’s, so just trying to see if there is a way to mass-remove these Scouts. I used to be able to do it when the calendar was in Scoutbook, possibly with the Feature Extension.

When the grace period expires, they should be automatically removed.

Thank you for the quick reply. So - I decided that I wanted to manually remove these people from the next few months events to reduce confusion and keep the event clearer for the leaders until the scouts/parents drop automatically. Here is what I did on one January event -

  • Deselected “Event with RSVP”.
  • Deselected All for Invitees
  • Saved the Event.
  • Backed all the way out of the event to the main calendar and hit Shift + F5 to refresh it all

When I go back into the event, (see attached screen shot) -

  • The opted out group (scouts and parents) are set as Maybe’s on the Invitee List. (In the interest of privacy, I kept the list closed, but trust that these 7 people are all leaving scouting).
  • They do not appear when I’m Editing the event (attached screen shot). But they do appear on the event itself, even with RSVP set to no and removed all Invitees.

Any advice on how to resolve? I don’t want these people to be an option in my events and I feel like we shouldn’t need to wait until end of January for them to disappear.

I am not sure how many Scouts are inactive, but something you could try:

  1. Create a den or patrol that you name “Inactive”.
  2. Go to the den/patrol page in Scoutbook, and move the Scouts into the den/patrol by using the “Reassign Scouts” button.
  3. Click on a Scout’s name, and then click on that [Scout]'s Membership.
  4. Click on the Scout’s current membership in the den/patrol, uncheck the box next to “Position Approved”, and then click “Update” to save.

Then you should be able to remove those Scouts from the calendar.

After the grace period is over, you will need to go back and re-approve their membership in Scoutbook. Then you can add an end date to their membership, and they will fall off your roster.

Jennifer - Thanks - Unfortunately, the Scouts aren’t in Scoutbook anymore - already ended their membership. 3 scouts - (and 4 total parents) - One aged out last Dec, another this Sept and the final one mom said was done, so we already closed him out. Any other suggestions?

@MeganPirchner In Scoutbook (legacy), please go to:

My Account → My Connections

You should find the Scouts there.

Click on their name.
Then click on: [Scout]'s Membership
Remove the Date Ended.
Make sure the box is checked next to Position Approved, then click “Update” to save.
