Can't see all Parents and Scout to send email via Scoutbook

When my assistant scoutmaster tries to send emails to Scouts and Parents via ScoutBook, he can’t see everyone to check their names to send email. Many parents and Scouts are missing.

@MichaelSawayda is the user trying in Legacy Scoutbook or SB+?

Scoutbook Plus does not use Legacy Scoutbook positions. Registered positions are used to provide base permissions. Some additional permissions can be added by the unit, however, there are restrictions on what can be given. See Scoutbook_Permissions.pdf and the Scoutbook Plus permissions video for more details.

Ok, I can have him move to Scoutbook Legacy then. We are looking now and there are some parents not there either. Does he have to connect with every single parent and scout and in the troop to be able to email them?

@MichaelSawayda You might be a little behind with Scoutbook + (advancements.scouting.org) - that is where most all functions are housed now.

Parents from Legacy Scoutbook may not be there if they are not parents in the Scouting America Database - Scoutbook for Troops, Crews and Ships - Scoutbook Knowledge Base

Then Permissions need to be dealt with with by Key 3 with the links I posted above

ok so is everything in Scoutbook + now?

Almost everything. MBCs still use the MB Counselor Tools at our classic Scoutbook My Dashboard. There’s a bug in the new SB+ email system that’s causing issues for messaging to large groups which can be circumvented (in some cases) via the classic Scoutbook messaging system. Pretty much everything else for packs and troops is in SB+ now.

Payment logs are not implemented in SB+ yet

ok, so feels like I’m doing right by using legacy Scoutbook for the group messaging, but then I’m missing people. I guess we’ll go with using ScoutBook+ as it seems to be the best we can do.

Does my Asst. Scoutmaster just need to make sure he’s connected with the the whole troop?

@MichaelSawayda- you will want to make sure that all parents are in the respective scouts profile in scoutbook plus.

Thanks Stephen. I did check that. Otherwise, do I go one by one with the Scoutmaster to connect, or is there a ‘approve’ all button?

@MichaelSawayda - I am not sure if connection manager is still a viable option but it used to be that the view only was the way to go. You should also work on the permission manager as well to make sure rights are there. Watch the video

Stephen is talking about the classic Scoutbook process if you need to connect the ASM in question to some of the scouts so they can use the classic interface (until large group messaging is fixed). Once classic Scoutbook messaging is retired (presumably after the large group issue is fixed in SB+), then you’ll still need to assign the correct permissions to your ASM(s) and other scouters.

Permissions in SB+ are very different from classic Scoutbook. One of the Key 3 or Key 3 Delegates has to assign whatever permissions you want the ASM(s) to have on a scouter-by-scouter basis. If you give the ASM the “Message Create” permission under the “Messaging” header in the Permission Assignments tab of the Permissions Manager at SB+, then the ASM can email all of the registered scouters, all of the parents (who are connected to their scout in the official AKELA database/SB+) and all of the scouts who have connected to their account.

Only parents who show up in SB+ under their scout’s name in their profile are connected to the scout for these purposes.
