Changes in Permissions Manager do not appear correctly next day

I’m using the Permissions Manager to apply appropriate permissions to our advancement team. I’ve applied the suggested permissions and saved the changes, but the next day when I go in one of the people still has the permissions set, but the other does NOT have them set. I’ve tried setting them and saving changes multiple days now. Any idea what’s going on?

@ScottMuller

Did you use Permissions Manger in my.scouting.org or Scoutbook Plus? We recommend only using Permissions Manager in Scoutbook Plus to add the new functional role.

I did it in Scoutbook Plus. This is what I see when I go back in for the person who it worked for:

And this is what I see for the person having the problem:

If I try checking those boxes and clicking Apply Changes on Advancement, I receive this error message:

Thank you for looking into this!

@ScottMuller- because you already have a unit advancement chair.. only one person in that role as you can ONLY have ONE UAC

@ScottMuller what is the Member # of the scouter you are trying to apply permissions for

Stephen, to reply to your response, we have over 100 scouts in our troop. We are that strong because we have teams of people working in the same area to support each other. My Scouting allowed our COR to assign more than one person at my request so that multiple people can run advancement reports, etc. as needed. If only one person should be in that role, then I would suggest My Scouting be updated to not allow that to happen.

Donavan, the # is 13332370. I need both Jamie and Abby to be able to run reports (and all functions of the UAC). If I just need to set the permissions to make that happen, then if you can please remove Abby from the UAC role (leave her in the CM role) and I will change the permissions when that is done. I can also ask our COR to make the change if you are unable to.

Thank you both!

@ScottMuller - we are all volunteers here so we can not change any positions for your unit. The COR will need to make the changes. The error you posted is related to what I had stated. If you look at the various positions there is a number at the the top that show the maximum allowed persons. If a spot is open it will show 0/1 or what ever the count is.

Hello,

I don’t see Eagle Scout Service Project Coach as a position, will that be added soon?

@BrittaMcKee1- that is neither a registered position nor a functional role. So most likely no.

Thank you Stephen. While yes I am aware of that. I was hoping it would have changed to have it listed as that is an important role/position. More than some that they have listed. Especially if they are wanting to have them aligned with the Guide to Advancements. In the Guide, 9.0.2.9 Eagle Scout Service Project Coach is stated. We use the application too (I do know that it is at the councils choice): https://filestore.scouting.org/filestore/pdf/512-069.pdf

@BrittaMcKee1- that application is 2019 and I do not think it is in the 2025 edition though the section is still listed. I also do not see where it is applicable to anything in scoutbook plus in access rights

Beyond that scoutbook is a unit tool not a district or council tool and with that in mind the project coach has no place in scoutbook.

Regardless the source of project coaches, they must adhere to the Eagle Scout service project process as described in this section of the Guide to Advancement. Coaches do not have approval authority. Instead they serve to encourage—not direct—the Scouts to make the kinds of decisions that will lead to successful outcomes. It is true a Scout need not accept the assistance of the service project coach.

Again, I understand what you’re saying however, there is a unit to life eagle mentor & the Eagle Couch. A merit badge counselor is a council position and you have to be able to run a report to provide information to the Scouts when they’re working on a merit badge to help them find a counselor. All I am saying is it would be nice because not all of our units has an eagle coach or our council have enough eagle project Coaches to work with. If we could have that be listed just like a merit badge counselor, that would be helpful.

If they’re going to have that listed position in the Guide to advancements, for someone to work alongside with when working on project, you would think they would have that listed as a position.

And yes, I am aware that it is a 2019 document. A lot of documents still are not updated and again as I mentioned before this is clearly listed that it is at the council discretion.

Not trying to be difficult just trying to be helpful and provide some feedback as this is something we face in our council.

If your council thinks this is something that should be added, the professional staff can also put in a request via their channels to national. That is likely to get more traction with the folks who tell the developers what to implement than pushing the feature request up via the SUAC volunteers will.

@BrittaMcKee1

Scoutbook Plus only has positions that are available in my.scouting.org. Charley is correct, if you feel this is required in Scoutbook Plus you need to work through your local council professional staff and convince them to open a member care ticket. The my.scouting.org team only works from tickets submitted by Councils. Even with a ticket, there is no guarantee the position will be added unless the Scouts BSA program office and my.scouting.org teams feel the benefit justifies the cost of implementation.
