I just added a new member as a parent and they accepted the invite and logged in. Now I want to make that parent an admin in scoutbook. They are a committee member but not a registered adult. When I search for their name or email in the add adult leader I can’t find them. When I open their parent record there is no way to add them as an admin. Can I really not make a parent an admin? I need to delegate this task to a committee member as we are transitioning out of scouts.
what is the BSA # of the parent? if they are a Committee member they should be registered
Not all parents register but we need them to help with committee. Are you saying if they are not a registered adult I can’t get their help?
If they are not registered they cannot have roles in Scoutbook. They should not be on committee. They should not be around youth unless 2 other registered Scouters are there, unless it is a fundraising situation.
That did not use to be the case and is ridiculous. All adults are welcome to participate on committee. We need all the help we can get. Any parent that goes on trips has YPT and does the background check form. I am trying to transition these roles and now it will be left undone because of these barriers to getting admin work done.
@MarshaButler - as a unit key 3… this would not happen on my watch… unregistered adults as an admin…
A Background check form I have never heard of being run without a registration - unless your council has a pilot program or something - I am just saying the basics of what YPT and national has said. Yes a while ago you could assign anyone to anything in Scoutbook - but that was locked down in April? of this year for security.
@MarshaButler - I get where you are coming from but based on BSA Legal team… this can no longer occur.
All adults ARE NOT welcomed to participate on a unit committee. The adults that participate must have a background check, complete YPT, and obtain approval of the COR. Not all adults are able to do this.
Depends what is meant by participate. All adults are welcome to attend committee meetings. And there are plenty of tasks that non-registered leaders can do to help out. They can help setup or clean the room. They can serve as a grill master at the family picnic. They can call bingo numbers. But those aren’t committee functions per se.
Good point. Participate on the committee means to me they are ON the committee. Guess it was a trigger word for me. Help with committee and or unit needs? Sure. Help with unit activities? Sure. Tons of help needed.
I have instant problems when someone says registering, completing YPT, and having a background check are barriers to running their unit.
Everyone can just settle down now.
The volunteer in question that agreed to maintain the roster on our website (and I wanted to also maintain on scoutbook) has agreed to register. But this process will take longer than I hoped to transition the role because we have to run the form all over town to get signatures which is quite a pain.
We register our committee chair, treasurer and some other committee roles. We have lots of registered committee members. But we don’t register every parent that agrees to help with fundraising, keeping track of t-shirts, organizing court of honors, championing the camp registrations, and things like that. The registered members cant do everything although it often it feels like that.
And we do YPT and background checks on every adult that attends camping trips or is registered as an adult member.
Sorry, I am sensitive to past discussions on this topic. It sounds like you and your unit are very reasonable.
If you state allows, the online application process is very neat. We have had leaders fully registered in 24-48 depending on background check time.
@MarshaButler - this perhaps is what caused some confusion:
“That did not use to be the case and is ridiculous. All adults are welcome to participate on committee. We need all the help we can get. Any parent that goes on trips has YPT and does the background check form. I am trying to transition these roles and now it will be left undone because of these barriers to getting admin work done.”
Now as far as adult applications there are two signatures the applicant and the COR… and if your state allows there is also online registration.
Is converting a parent volunteer to a registered adult electronically as easy as having them go to our BeAScout unit pin and signup there?
We have one that’s already trained in YPT (so they’re in the system) and now they’re stepping into a den leader role. I’m not positive what that process is, but I want to do it electronically if at all possible (we’re 90 minutes away from our council headquarters, Houston TX if it matters.).
@DavidO Yes, that’s the process. They will be asked to log in at some point. They should log in with the same username as they used to take YPT.
