Welcome! This forum has a treasure trove of great info – Scouters helping Scouters! Just a heads up, though - all content, information, and opinions shared on this forum are those of the author, not the BSA.
When reviewing the attendee list on an event, I can see a participant on the event page for someone who is no longer in our pack as a registered leader. They show on the event page as a parent (no leader flag). But when I edit the event to remove the user, their name is not there. The scout is no longer on the roster either, but the scout is not included in either event lists. Why is there a mismatch? I’ve tried refreshing, and checking in incognito. This leader was probably included in the event before leaving the roster, but somehow still on as a parent.
Looking at the attendee counts, the event page shows one more attendee than the edit event page, so this might be the only mismatch between the two lists.
This is slightly concerning - what if this person was someone removed from the pack and who SHOULD NOT have access to our calendar?
Aside, the edit event page does not include the external invitees either, but that’s not my main concern.
It does not flush when making changes. I do not have access to the member number as they are not on the roster. I looked and couldn’t find it anywhere.
If you’re one of the Key 3 or a Key 3 Delegate, you should be able to pull the Member ID from either the Non-renewed Membership or Record of Change - Adults reports under unit reports at my.scouting.
If not, the SUAC can start a private chat to get more info (like the name of the involved scouter and enough info to investigate further/locate the Member ID).
Ahh, I was not aware of these reports. I have gone through them and almost gave up. The leader transferred to another unit so it seemed like they were not coming up on any of the reports, but I finally found them on the Members Who Have Renewed report going pretty far back in time.
Member ID 13650993
And if it is helpful, the event ID is 5829887. And that’s not the only event this happens with. I also see this on Event 5829889 and even on Event 5829887 which was created after the unit transfer!
Yeah, I stumbled across that report menu after missing what I was trying to click on for my unit. Naturally, as an engineer, I couldn’t suppress my curiosity and wanted to know what they did. More clicking around ensued. :^)
I’m not sure what to do about this issue. I have concerns about internet security protocols not being followed here and the risks to children, generally, if someone who is not in my unit still has access to calendar events.
I can see this in multiple browsers, incognito, multiple computers, and within the Scouting app. This is not a cookies issue.
The Scouting America IT group doesn’t provide timelines for fixes to us users, so I wouldn’t hold out for that. :^)
Let me see if one of the SUAC folks can take a look at the issue and get it in front of the developers (or at least clarify if it’s something that has to be submitted via council staff to nationals). @DonovanMcNeil, are you out there?
@BenMason what Dev is saying in a situation like this where the Scout left the Unit - sometimes the parent in an previously made event moves to something like an external Guest. They cannot see the event in their calendar as it is attached to their email like an external guest, not attached to their User login. There is a larger story coming that as part of it resolves issues like this.
