I am trying to assign and change memberships in the functional roles using position manager and have run into errors after re-assignment.
For eg. I am moving a current committee member to the Unit Scouter reserve or moving a Unit Scouter reserve to an ASM based on the positions parents committed to for the upcoming year.
Is there any reason I will continue to see the parent name for both Unit Scouter Reserve and as an ASM/Committee member (for above examples). I am the COR delegate and a Key 3 delegate for our troop and have the needed access.
Our unit renewal has been completed/approved for 2025. Please clarify if I am doing anything incorrectly of if there is a window of time when these adult leaders will continue to be in the two positions? How do I cleanup the assignments at this point?

BSA did a logic change awhile back. Now, when you move someone from either their registered position or a functional role, the old position or role is expired with a grace period, not ended immediately.
The expiration has been dated to the end of the previous month, with the grace period lasting two months. So, someone expired in December would be dated 11/30/2024, their grace period would end 02/01/2025, and they would disappear on 02/02/2025. However, I have recently seen dates that don’t conform to this, so things may be changing.
Position Manager will show the person in both positions or roles at the same time. The roster shows the expiration dates.
Training Manager used to count both positions, but an update a bit ago now only counts current positions, not expired.
Changing a registered position automatically expires any functional roles the person has.
Other than cluttering up Position Manager, the problem is when the person moved was in a position restricted to one at a time. Sometimes the COR or CORd can add the replacement, other times the system refuses because it thinks the position is filled. Registrars can override the restriction.

@MadhukarGundamaraju if I had to guess - the renewal is approved but not processed yet - that should be tonight or the next few days - then changing registered positions should be available - I bet they are in a locked state as you already submitting renewal until it is processed.

I am using position manager and was expecting that moving positions within the roster should be immediately reflected as these are adult leaders that will continue to be on the roster (renewed for 2025).
I understand that members with expired status will roll off the roster after the grace period however they were being assigned to the unit scouter reserve positions prior to the expiration date.
I am a COR delegate and was able to make the changes however as you mentioned it is cluttering up the roles and doesn’t reflect an accurate list of active adult leaders in the troop.
I did check with the council and they indicated that this would clean up on its own after 90 days from the end of the previous renewal (12/31/2024). I will need to check back again in April to see that these changes are reflected.
If the troop has the responsibility to maintain these positions then these changes shouldn’t take so long to reflect in position manager, I am unsure why we have such a large window of time for this.
I’m experiencing a similar issue assigning Functional Roles on the Position Manager page of the my.Scouting Organization Manager. Our former treasurer (Member ID 14435662) resigned last year, and his membership in Scouting America expired on December 31, 2024. Here we are in March, and I cannot remove his name from the Unit Treasurer position. Entering a “Date Ended” or unchecking the “Position Approved” box in Scoutbook do not seem to make a difference.
When can I expect this individual to disappear from our roster?

There is currently a 3 month lapse period. Your former treasurer should drop off of your roster on April 1, 2025.
