How do I fix an error on Scoutbook? I am a new scoutmaster. I tried to delete/add patrols and instead of 12 scouts I now have duplicates and it show 36 scouts. Some of the patrols duplicated as well.
Are you working in classic Scoutbook (scoutbook.scouting) or SB+ (advancements.scouting)? Almost everything for troops is now at SB+, except the interface for MBCs to update scout records. That remains at Scoutbook → My Dashboard → My Merit Badge Counseling Tools for now.
The SUAC may be able to give guidance on (or directly assist with) resolving the duplicates.
We’re using both. The “36” shows in Classic. In plus I can’t view almost all of them. I tried editing patrols in both and its messed up in both.
So, hopefully one of the SUAC can comment on the best way forward. I’m just a unit ASM who helps out here on the boards, so I don’t have any special access to view or edit anything.
Before it’s purchase by the then-BSA, classic Scoutbook used “membership” in a patrol or troop as a proxy for an actual BSA membership, since there was no linkage between Scoutbook and the official systems. If you added a membership in a patrol instead of moving a scout’s membership from the troop to the patrol, a duplicate membership was created which could cause a scout to appear multiple times in certain parts of Scoutbook. Something similar is what I think has happened here.
I’m not sure if there’s a more efficient way forward, but my first thought is to go to the troop roster in classic Scoutbook, click on each scout, go to the scout’s memberships, then put an end date on all but one of the memberships you see there for each scout. You must leave one membership active for each scout so that the scout doesn’t drop off the system and need to be re-synchronized from the official roster (which requires outside assistance).
I’m not sure if the next step is to go to SB+ (not classic Scoutbook!) and delete all of the patrols, or to march through the SB+ roster for each scout, click on the patrol name in each scout’s record, and change the patrol assignment to where they belong from whatever it says. The only problem is that I’m not quite sure how to get rid of the duplicate patrols.
I think that deleting all of the patrols in SB+ just dumps the scouts back into the “unassigned” bin in the troop roster. Unfortunately, I don’t have a sandbox to test it with.
@CheriEsparza - you should ONLY be in advancements.scouting.org. I think you will have to check the membership section for each scout in classic scoutbook to end date any multiple current membership.
@CheriEsparza leave Legacy alone for the most part. In SB+ I would suggest making new patrols and moving scouts - see if that resolves. Otherwise it is a Scout-by-scout fix
I think they’ll also have to remove the scouts from the old patrols since membership in multiple patrols is allowed now.
