I’m collecting payments for an upcoming campout. A new parent made a payment through the Scouting App. I can see the payment in the Scout’s payments log & it says “Payment made in the Scouting App via Paypal integration”. It includes a payment log id & a payment id. Looks legit.
When I run the payment log I cannot see this one. It is too soon so money hasn’t landed in our bank account yet.
Looks like a bug in the payments log - thanks for looking into it!
@LydiaReeve - the pay logs are not dynamic linked or linked in any way to your bank
Understood. Why doesn’t this one payment show in our payment log? The only difference I can see is that it was made in the app not the website.
You said you can see it in the scout’s payment log.
What do you mean “when you run the payment log”?? It would show up in the report for detailed transactions for the Scout
The incorrect report is the “pack payments log” at the bottom of the main pack page in scoutbook.
That is the correct way.
The Pack Payments Log does not include any member transactions.
The member paid a charge posted to their individual payments log.
If you run a payment log report, you will see that the overall balance has increased by the paypal amount (less any paypal fees)
But the Pack Payments Log does show the small amounts that the pack pays as PayPal fees. So if the user paid for anything through scoutbook I should see the small payment that the pack made for the PayPal fee.
You are correct, the fee should be posted…
I am treasurer for an active Troop with 100 Scouts.
We use Quicken to handle revenue and expenses. We post agreagate Scoutbook activity and reconcile to Scoutbook to get a balance sheet for the Troop.
Payments are by check, Zelle, and PayPal. Most are now thru Zelle.
We charge PayPal fees back to Scoutbook accounts that generate fees.
We are considering dropping PayPal because it requires additional entries to charge indiviual Scoutbook accouts. Is there a way to automatically charge the PayPal fees to individual scoutbook accounts? I am presuming there is not.
Thanks
The fees are supposed to be automatically be added to the unit payment log. Can you confirm you don’t see any there for known paypal transactions? I am unable to test this functionality, and if confirmed, will notify the developers.
Thanks Gary-
The PayPal fees are recorded in the Unit Payment log.
Our Troops policy this that those using the convience of PayPal should bear the cost of the fees. Because of our high adventure programs, for some scouts it can range into the $hundreds.
I use the Unit Payment log to reallocate and charge fees to the individuals generating these fees in their Scoutbook account.
I am asking whether or not it is possible to have the Scoutbook program charge these fees to the individual Scoutbook accounts.
I realized that if this feature is not already available, it may not be worth the programing effort.
Thanks again for your help.
Here are screenshots. The payment that was made on 9/10 from A.W. does not show in the Pack payments log.
I have 3 scout paypal payments now through the scouting app that aren’t showing in the Pack payments log. It should show the small paypal fees that the pack pays on each of those transactions.
Lydia,
To confirm - the missing one was paid via the Scouting App and the others were paid via the button in Scoutbook?
Yes, exactly. All payments made through scouting app are missing.
Aren’t they recorded there as a charge and a credit? Then the Scout gets charged the base cost plus fees and credited only for the base?
Matt-
The way our Troop is set up:
PayPal Payment $1,000 -credit to individual Scoutbook account.
PayPal Fees ($30) - debit to the Unit Payment Log.
We then manually:
$30 -credit Unit Payment Log.
($30) -debit the individual Scoutbook account.
Net credit to the individual Scoutbook account is $970.
I am trying to avoid this manual step. If your Troop is set up differently let me know how this was accomplished.
Thanks again Matt
JIm
No manual steps. The Scout is credited the amount and the fee and then the fee is debited. No entries in the unit log. This is all automatic.
Are you not using pay pal integration? If you are, do you have the radio button set to pass on fees?
@Matt.Johnson When using Scoutbook, fees are supposed to be auto-entered into the unit payment log. This was working at one time (it even specifies it in the help.scoutbook pages).
Look like it is working for Scoutbook but Lydia has found an issue with the App
I don’t see it in our unit payment log. Only in the individual Scout. Basically, only the Scout has credit for the base+fee and a debit for the fee.
Then its a bug in both Scoutbook and the App. I have notified the developers
