Recharter Timeline

This recharter timeline is handy to be sure you have everything on track. How are you doing compared to the ideal timeline?

Bob, agreed the table works for planning “goal setting” of the charter renewals.

It does nothing to get the units motivated and parents within coordinated, especially when the council wants stage 3 done before Thanksgiving so they can make their deadline for the new year reports.

Additionally it does not help when I know units charters are submitted and they have in hand the acceptance letter however the commissioner status table does not reflect it.

The talking to a unit leader that they still have to submit, when they hand you the letter saying they did 5 days ago is quite defeating for both parties.

Keith

I understand the goals, but putting my COR hat on, I’d never submit chapters in November. I did that my first year. That has resulted in either on-line apps being turned off until charter being processed or online apps getting dropped after the charter being processed. I now hold the “click” until first or second week in December to reduce the limbo time. If the charter was processed after hitting submit, I’d do it in November. But that isn’t the case.

One thing to note, and this is why they have and share the timeline, I do not wait to the last minute. The timeline is key for those they do. It is sad how many waste a lot of people’s time not getting the job done and moving on.

When I say I click in the first week or so in December, that is all I do. Up to this point our 3 units are down to 2 adults that have YPT expire in late December. We are on top of that. We have confirmed all CBCs are done (100% for about 50 adults). We require dues to be paid by the end of November, but have put out the word in October to suss out who is returning. We know the unit leaders, the committee chairs, and the COR are set (if any changing). We know we will be 100% Scout Life on 2 of the 3 units. We have budgeted for the funds and when the 1st of December hits, we are ready to click, we just hold the click.

Again the issues are (from the past, these could be fixed):
-No online applications after clicking
OR
-the year they were allowed, the Scout and adult who applied in early December were dropped from the charter after the charter posted (in March)

So, if submitting didn’t “break” things, I’d be done before Thanksgiving.

@RobertFish Here was a good example from one of the other forums.

I would say the national timeline is at cross purposes with the IT system realities.

With some charters not proceeded until mid February or even March, what a mess for that unit!

This is what I trend to see:

Scouting executive (SE)

DE not SE meet with IH and COR for multiple reasons.

  • FOS campaign kickoff and date/timeline awareness (Feb-Mar)
  • Volunteer awards, Charter status and “systems” check (Apr-May)
  • Summer how goes it? and Prep for Charter renewals (June - July)
  • Charter Presentations (Nov-Dec)

District Commissioner

  • Membership/Volunteer awards, Unit/District Calendar trade Jan-Feb
  • FOS Kickoff (Detailed assessments and Unit Service Plan start)
  • Monthly or Bi-Monthly for Unit assessments (stat to the unit service plan)
  • Going in to Summer plans May-June
  • Daycamp / Summercamp attendance to meet with Units for Summertime Pack award reminder (July)
  • Popcorn season how goes it, reminders of Unit finance goals, Unit Service plan close (Aug-Sep)
  • Charter Renewals (Oct-Dec)

District commissioner selects, trains and assigns unit commissioners. When?

  • I don’t have a specific date as I’m always looking for leaders. Traditional training is in October but specific training can be any day it’s asked for. With District charter Due in June I try and get it complete by May and get Arrows awarded after the District charter renewal as a thank you for staying.
