Scoutbook Plus | Activity Logs Not Allowing Scouts Added to events

For the past week or so, since our annual recharter was completed earlier in January, I am having trouble inserting scouts in the Activity Logs.

I have created the Activity Logs like I usually do. I created Group Events. When I go to add scouts and scouters attendance, I usually hit the edit button to the right. I then use the top right blue Add Person button. It is currently showing No Data which it does if it is not associated with a Roster. Therefore I cannot add the scouts and scouters.

We keep other records, but I like trying to keep the Activity Logs up-to-date so all of the leaders have access to this information.

Since I work with multiple units, I have double checked that the activity is associated with the intended unit. I have mistakenly created events for the wrong unit in the past so I checked that first.

I cannot add people to any current events, but I cannot add anyone else to older events either. I don’t need to add anyone to a camping trip from early 2025, but I wanted to see if it was a problem with 2026 to help narrow down the possibilities.

Is anyone else having trouble connecting scouts and scuoters to activity logs right now?

A major focus of the migration to Scoutbook Plus is to have positions mirror the positions shown in My.Scouting to ensure positions were reflected accurately in both platforms. The main purpose it to honor the guidance of our charter organizations and the positions they approve. Therefore, Scoutbook Plus does not use Legacy Scoutbook positions. Registered positions are used to provide base permissions. Some additional permissions can be added by the unit, however, there are restrictions on what can be given. In addition to what Stephen noted, this might be something for your unit Key 3 to follow-up on with council to make sure that the renewal has finalized. There have been a couple of folks who posted in the groups whose renewal had not yet finished processing, and that was impacting some functionality. Unfortunately, although some of the SUAC members may be able to see if this is a problem, your unit would need to contact the council to get help actually resolving the issue.

@JohnWithers none of your positions give you access to Activity logs. Your Unit Key 3 need to take action as Stephen notes.

After reading through the PDFs, I was thinking that might be the issue. I will follow up with the Key 3. It is nice to know that should be the next step.

Overall, I like the concept of the Key 3 assigning various roles depending on how units want to break up responsibilities and roles. That gives units a nice autonomy within the overarching structure.

I need some information on how this Activity Logs are intended to work. Previously I have add scouts create the event and enter the days (Camping), hours (Service) and Miles (Hiking) enter themselves.
Now a lot of the scouts are not able to enter it. Did it change?

What is the recommended process to keep this activity log updated so that the Scout BSA report reflects the correct numbers.

@JigneshShah1 When a scout enters an activity it is their own - not a units activity - it is unofficial unless an adult approves it. Depending on how this was done, you could end up with 5 scouts entering the same thing and fragmenting your records for the scouts to 5 activities.

Most Units have an adult that enters the Activities (logs) and Calendar (events) and keeps attendance when needed.

@JigneshShah1 - in order for a scout to enter their log data they have to be able to login at advancements.scouting.org. The would need to use their my.scouting.org login.

Thanks for the info. Is there a way that we can create a bulk upload oif events by using a .ics file that is exported from our troop calendar?

@JigneshShah1 - there is no event import.

If you’re using your troop calendar in SB+, and haven’t already added the activities to the logs for some or all of the participants, you can add activities to each calendar event. Taking attendance there should push the event to everyone’s logs. You may still have to go in to the logs themselves afterwards and clean things up a bit, for example for attendees who only participated part of the time at a service project.

This is one reason I suggest just collecting attendance data then delegating to one of the scouters with access the task of updating the logs online. Scouts can still maintain their own logs in the back of the handbook (and IMHO should do so) as a ready-reference and source of truth in case of issues with SB+.

I am an assistant scoutmaster, and I have worked with my scoutmaster to set permissions. I am able to create new activities in the activity log, but “no data” is displayed when I want to add people to the log. As I read other forum posts, this seems to be a problem with some IDs. We have verified permissions are set, and waited several days to no avail. We have followed all instructions to make sure that I have the right position selected when working wiht the log. I have no issues doing advancements on any of our scouts. My ID is : 137236597

Thank You. We will have to start doing this going forward and try to enter the backlog too as it reflects on Scouts BSA History report.
Till now a lot of our Scouts were able to Create/Enter the events themselves and we just had to approve it.
But for some reason Scouts are not able to create/enter the events and thats why this has become more of a leader attendance report kinda thing.

BTW, We strongly recommend to our scouts to keep all events/activities log in their handbook not only for ready reference but that helps documenting in case online has issues.

@JigneshShah1- scouts entering events is a permission setting if the unit wants to set that. It is independent of the logs. You seem to be conflating the two.

@PatrickWebb1 you have no extra permissions saved currently - it needs to be setup

I have read that document and frankly it is confusing and overbearing.
My question was more about the screenshot you pasted?

Where and Who can see the Calendar and Calendar (Permissions Assignable to Youth) options so that I can work with them and understand how the Troop wants to move set it up.
