I can add service projects in the activity logs to both units I service (B and G linked Troops), but when I go to add participants, I’m getting “No Data”. This is for both youth and adults that I have previously been able to enter in on other events. I don’t know if this affects the other two activity logs. Using Firefox as my browser.
The Scoutbook Plus permission system has changed. See Scoutbook_Permissions.pdf and the Scoutbook Plus permissions video.
Have your Unit leaders updated the permissions that changed this week?
I am having this same issue. I am responsible for keeping up with the activity logs for my sons Troop. I was able to update the logs earlier this week but now I can only add participants from my son’s patrol. I am an assistant scoutmaster, troop admin, patrol admin, and unit advancement chair in scoutbook. How can I fix this?
I cleared my history and tried in both edge and chrome.
The Scoutbook positions and permissions have nothing to do with the new permissions structure in SB+, as described in the document and video linked from the blue banner at the top of the forums. Your Unit Key 3 or Key 3 Delegates (K3D) will need to reassign permissions to everyone whose registered position (or functional role assigned at my.scouting) does not automatically convey the desired permissions. The PDF document linked in the banner identifies which “abilities” can be assigned and which are assigned by default, based on the superscripts next to each “ability”.
I can update rank advancements for all scouts. I just can’t add the activity logs (outside of the scouts in my son’s patrol).
I got the video to work on a different device. I am watching it now. Why are we making this so difficult? Did I miss an announcement that went out to all leaders?
Are we still within the window where Scoutbook Legacy admins can make changes, or has that period passed and only Key 3 delegates can make updates now?
I’m just a unit ASM, so I don’t have any particular insight beyond what’s available in these groups. The Scoutbook roles do not have any functions at this point in SB+, as far as I have been able to determine.
As far as notice to units, I’m not aware of any. Scouting America IT doesn’t generally announce releases/changes until they occur. There’s nobody on these groups who has the pull to change that, so any requests that future major changes be pre-announced should be routed up via the professional scouters at our respective councils to national.
The Unit Key 3 or Key 3 Delegates can set permissions. I believe everyone else is a recipient of permissions only at this point.
Thank you. I was just watching the video and it said for a short period legacy admins can make changes.
Yeah, the change hit Monday, so I suspect whatever changeover period existed has expired.
I’m just confused about why I can update rank advancements for all Scouts but not activity logs. Why are these two functions separated? Or is there possibly an issue with the activity log?

Disregard. I just got to this part of the video.
Yeah, I read the document first. It wasn’t perfectly clear about what everything did, but it got me a quick grasp of what might be in each chunk of the abilities matrix.
I am a Committee Member, so, according to the Scoutbook Permission pdf, I should be able to Create/Remove/Edit/Approve Activities in Scoutbook Pus, which I have been able to do until last week. However, I have the same problem as jeicjackson, I can add service projects in the activity calendar, but when I go to add participants, I’m getting “No Data”.
Was anyone able to solve this issue?
@FabienneWavrant There is a legend above the roles. Committee members are not automatically given those permissions.
I see. It says “Can be given” which means, it is not automatically done and needs to be given permission by a key 3, correct?
@FabienneWavrant- that is correct
I’m watching the video and trying to figure this out. In order to be able to add people after creating an activity, I need a key 3 to go into the “functional role” section in scoutbook plus and add me as a ……what? in order to be able to make that change? I am already registered as a committee member in the “registered position” section.
From the PDF linked at the top of the page, as a registered committee member, your Unit Key 3 can assign any of the permissions listed under the Committee Member section (yellow highlight) without adding a new position (e.g. without adding UAC to your list). Rather, they add the permissions to your account by assigning the relevant ability/abilities.
It seems like the Create/Remove/Edit permissions for activities (first line under the Committee Member heading) would be the minimum necessary to create and update activities in the logs. If you’re looking to approve the log entries, you would also need the Approve permissions for activities. These are actually all grouped together (at least for now), so it seems like a one-stop-shop for that.
If you’re talking about a calendar event when you say “an activity”, then you’re looking in the middle at the Calendar Create/Edit/Remove permissions. Similarly, these are all grouped under the Calendar Editor ability.
