Seeing all adults when adding an Activity Log

When I add an Activity I used to be able to see a list of all the Troops Scouts and registered adults in order to select which people attended the event. Now I see all the Scouts but only see two adults, myself(I’m an ASM) and another ASM. My guess is something changed recently with permissions, and I’ve done my best to see what needs to be changed to allow me to add all the registered adults in our Troop, but I can’t seem to figure our what needs to be changed permission wise.

Any thoughts?

Thanks,

Doug Howe

@DouglasHowe - do you notice the blue box above your post.. that has what has been changed.

This post just seems to confirm that some sort of change has occurred, but it doesn’t explain what needs to be done to fix it. What specific permissions need to be granted in order for me to see a list of all adults so I can add them to an Activity that I created?

Thanks,

Doug Howe

@DouglasHowe - the unit key 3 will need to read the doc and watch the video to determine the permissions to add to you

I noticed that the only adults I can add are those that are assigned to a patrol, so that must be what changed. When I add a parent to their kid’s patrol then they show up in the list of people I can add to the activity. It is frustrating that it doesn’t give an error message or any clue as to what the problem is or why this is a problem.

Andrea,

Thanks for this information.

This is obviously a bug, why should only adults assigned to a patrol be seen on a dropdown list to be added to an activity such as a hike?

Will try to follow up with a bug report.

Doug

@DouglasHowe @AndreaVaughan - see the blue box at the top of the forum. There was a change to permissions and anything related to classic scoutbook connections and roles is no longer valid.

I understand that there was a change made. I guess what I’m saying is that change introduced a bug. Why would I be allowed to enter an activity like a hike and be able to select all the Scouts that went on it, but only select adults that are assigned to a patrol (which seems to be the case). Doesn’t seem to make sense to me that being able to include certain adults as participating in a activity should need some permission. Maybe the ability to create an Activity should need a permission, but why limit which adults attended? And if it is a permission issue, I’ll be darned if I can figure out how to solve it. Does the system want us to assign every adult to all the patrols?

@DouglasHowe- what i can add is that as committee chair if i add an activity log entry I see all youth, parents and registered adult. I would ask if you are seeing all youth or only those in the patrol? If you are limited to sub-unit then you should see the parents and leaders associated with that sub unit. The key 3 should look at the permissions assigned to you and what your role is. ASM role has no automatic rights.. only those granted by the key 3.

We have three patrols, and I can see all youth in all 3 because there was a conscious decision to assign me (an ASM) to all three patrols because I interact and add things for all the Scouts in those patrols. So Scout wise, I think I’m good permission wise. Now it’s the adults I need to have access to. The only other adult (beside myself) that I can add to an activity is another ASM that was assigned to all the patrols just like me. I don’t think we want to assign ALL the adults to all the patrols just in order for someone like me to include them in an Activity, so I’m struggling with how to solve this issue.

@DouglasHowe- your key 3 will need to modify your permissions. Read the document and watch the video.
