Welcome! This forum has a treasure trove of great info – Scouters helping Scouters! Just a heads up, though - all content, information, and opinions shared on this forum are those of the author, not the BSA.
Received this question from a unit leader: “Good Morning,
I hoping you can point me in the right direction for Scoutbook issues.
Currently, I can only add adults in the activity logs for camping/hiking/service.
No youth appear in the drop-down box.
I’ve tried every way I know with no success.”
Individual is registered as Committee Member, functional position of Advancement Coordinator. Any assistance you all can provide would be greatly appreciated.
I fully understand. We are often the first call / email for frustrated volunteers and the last thing we want from a customer service perspective (perceived or otherwise) is to shrug our shoulders and send them elsewhere. We do suggest the forums as much as we can.
Second is: A major focus of the migration to Scoutbook Plus is to have positions mirror the positions shown in My.Scouting to ensure positions were reflected accurately in both platforms. The main purpose it to honor the guidance of our charter organizations and the positions they approve. Therefore, Scoutbook Plus does not use Legacy Scoutbook positions. Registered positions are used to provide base permissions. Some additional permissions can be added by the unit, however, there are restrictions on what can be given. See Scoutbook_Permissions.pdf and the Scoutbook Plus permissions video for more details.
Even Providing the MID we cannot see all the permissions - so it is up to the unit to investigate - or the council admin to log in and see
This person is registered as MC and is Unit Advancement Chair in the B troop and only MC in the G troop. By default these roles do not give them authority to edit activities.
The reason it is often better for the member to post here directly is so we can ask questions without an intermediary.
I recommend you direct the unit to the post Donovan referenced from the top of the forums. This provides instructions for adding permissions as the unit desires.
Thank you both. Replying to both on one post - I understand why it would be beneficial to have them directly reach out, I am just framing why I reached out. Unit Advancement Chair gives access per the permissions charts that Donovan shared - am I interpreting that incorrectly or is the chart incorrect?
@DonovanMcNeil thank you - the link directs us back to the main page so I will look through and find the most relevant post.
@edavignon thank you - it looked like Donovan was referencing a specific post that answered the initial question of youth not being able to be seen in a dropdown but adults can be. I may have misunderstood that though. I appreciate both of your help and I will see what I can figure out from here with the unit.
I think Donovan was responding to the “point me in the right direction for Scoutbook issues” part of your unit scouter’s question. I expect he intentionally provided the top-level discussion group link, since that gives the broadest view into the forums, so this scouter (and others in the future) can then drill into the correct sub-forum for their questions.
@CharleyHamilton that’s fair and on second review, certainly seems that way. Thanks for helping to clarify.
@edavignon@DonovanMcNeil thanks for your help - I figured out that I am actually a council admin way back from the days of manually updating MBCs in Scoutbook so I am able to access and see all those screens. It was never clear that we had all that access so we will be able to troubleshoot locally much more effectively now.
Good evening. Before I renewed my Scouting America membership I was able to add events and add both scouts and adults for. Now I can no longer add scouts or adults to new events. When I select add person it just gives me no data. Can someone help me fix this.
I believe they did it in my.scouting.org I just looked there and it also lists me as advancement chair and committee member. I will ask her how she gave the permissions (platform?)
Thank you, finally had a minute to take a closer look. I see what the key means now. So it looks as though I can be given permission to make or edit events but it is not an automatic permission for Advancement chair.
