Updating Awarded Date from TroopWebHost file

Our Troop uses TroopWebHost for tracking advancement, and we’re trying to update Scoutbook to match our TWH records by importing an advancement file from TWH, and we have a question.

Our import file contains achievements that with Awarded Dates. However, after running the import file in Scoutbook/Scoutbook Plus, these achievements are not showing up as awarded. Is this a know issue? How can we update/add achievements in Scoutbook/Scoutbook Plus as awarded through an import file? We have around 100 achievements that need to be marked as awarded in Scoutbook, and we’d rather not do this manually.

In the upload file there is an Awarded date field - not sure if TWH uses it or not we can setup a Direct message if you want so we can look at the file - for Scoutbook Awarded is purely Audit date

Thanks for the quick reply. I checked the import file, and it has a date in the “DateAwarded” field.

In Scoutbook, doesn’t Awarded prevent the achievement from being included in the shopping report we take to the Scoutshop?

Also, how do we set up a DM if you want to take a look at the import file?

It might scrub Awarded - as that prevents items from going on a purchase order in the system - I will have to check that. As an immediate fix a Key 3 or True UAC can log into scoutbook.scouting.org > click Unit on right > click Reports > Needs Awarding and then select all to mark all as awarded in system

So Scoutbook Plus is not currently recognizing the DateAwarded in the TWH file? Let me know if you’d like me to provide our file if that helps.

Well checking on the awarded - complicated - how the whole SB Platform works is to not send Awarded items to a Purchase Order - obviously cause the Scout has the item

Right, which is why we would like to update achievements in Scoutbook to show that they’ve been awarded :grin:

Does the SB platform store the date an achievement was awarded, or does it only store whether an achievement was awarded (i.e., TRUE/FALSE)? What about “Leader Approved”?

SB has official Date for Complete and audit data for who completed. Then Audit Date/Data for when/who marked Approved & Awarded.

So if you used the advancement report above as mentioned today - the Date would be today (if that is date you used in report) and the name would be yours for Awarded.

Thanks. Just to confirm: if I imported the advancement file today, then:

  • SB will mark the achievement as awarded.
  • SB will store the today’s date as the date I marked the achievement as Approved and Awarded (in audit data).
  • SB does NOT store when the achievement was awarded to the Scout.

import and awarded I am checking on - I kind of think it is scrubbing that data so the items go to purchasing
Would be todays if that is the date you used in the SB Report
SB can record that date if that one is the one you enter

@bdclary the only date that matters to Scouting America is the date an award was earned. This is the completion date. This is the only date that SB stores related to the award. All other dates are for audit purposes only so we can track who changed the status of an award in Scoutbook.
