How to Enable Access to Assign Scouts to Activities

Can someone tell me specifically which access rights are needed to enable an adult to assign scouts to camping/hiking activities? Currently they can create activities, but so far the only way I can give them access to assign scouts to the activity is by making them a key-3 delegate and I assume that is not the preferred method.

If they can create an activity - they can add Scouts to one - 99% sure on that. What is the BSA Member # (no name) of a leader with the issue?

BSA Member ID is 141474963. She can add an activity but when trying to add a scout to the activity she gets a message that says “your position(s) and related permissions do not allow you to perform this action”.

@MarkJackson3 is this for T0057B? If so what is a specific Date and Activity name?

Yes, T0057B. The activity name that was initially added is All Troop Campout - Patrol 3 on Jan 11**.** Initially she could add the activity but not add scouts. We gave her key-3 access and she added scouts after that. If it helps to troubleshoot I can remove key-3 access.

Yeah the names NOT listing kind of sounds like just a cache issue - do that is tough. Was this a multi unit event?

It isn’t that the names weren’t listing, she got a message that said ““your position(s) and related permissions do not allow you to perform this action”.

The outing was a troop campout, we list each patrol separately for tracking purposes.

Well was the event a Troop event or a patrol event? She has both sub-unit and unit Support which both do activities at different levels. Might be the sub-unit was over writing the Unit which we have seen

It was a troop event, in her role she enters both patrol and troop activities. We were trying to troubleshoot by giving different access types. Which should she have if she is entering activities for all scouts / all activities across the troop?

Top level can do anything a sub-unit level can do

We removed Key-3 and sub-unit access, and she can no longer add scouts to activities - would you take a look?

If it helps with diagnosing, the activities she added when she had Key-3 access have disappeared - but the core issue is we don’t know how to set her up to be able to add scouts to activities without making her a Key-3 delegate.

@MarkJackson3 seems you are changing positions alot so hard to say how stable anything is. The user can log in here and we can setup a screenshare

Activities do not disappear, so I would suspect they were never saved.

What is the best way to schedule a time with you for a screen share? She has access to this forum but I’m not clear what she needs to do to do a review with her.

The user can post in this thread and then we can communicate

Hello, I am the person who is trying to update activities. PLease let me know how to proceed. Thank you!

@ValerieGassend I should be able to start a screenshare today - just post here when available

@DonovanMcNeil I am available now if it is not too late. Otherwise I will be available either tomorrow or Wednesday during the day.

@ValerieGassend yeah we can take a look real quick - I will send you a direct message > look at top right Avatar to find it > it will be a green envelope > it will be a private message channel with select members of the Scoutbook User Advisory Council (SUAC)

I have the same issue. I am the advancement chair for two troops and need access to create activity logs (hiking, camping, service hours) and add scouts and adults to all activities. I used to have no problem but the last few months have been hard. The committee chair and scoutmaster have tried giving me various approvals to no avail. Troops 416 and 2019 in Middle TN council. If there is some way you can help me figure this out I would appreciate it. Kind regards, Suzy Kuchta
