Can't access new scouts in troop

I have been an adult leader (previously SM, currently ASM) for Troop 525 (Central Florida Council) for the past 4 years. We discovered that there are 4 scouts in our troop that I do not have a connection with. I had other admins create the connection for me to them, but when I try to access them to approve advancement or assign myself as a merit badge counselor, I get a page that states:

“Whoops! We encountered an error trying to process your request.
Please go to Scoutbook & Scoutbook Plus Bugs - Scouting Forums to report this issue.”

I tried to go into report builder to grab their ID numbers, but every report I attempt to run generates blank pages.

Any assistance that can be provided will be greatly appreciated.

Connections in Legacy Scoutbook do not apply to Scoutbook Plus.

It sounds like you have a cache issue affecting your roster. Try clearing your cache or using an incognito window. Let us know if you then see the Scouts on the roster.

I’ve tried this with different browsers on different laptops plus private/incognito with the same result in Legacy. It appears I can see rank advancement though when I move over to Plus.

That said, when I jump over to manage merit badges in Plus, I get a 404 error stating “You don’t have access to this trail.” I’m pretty sure I should have access since I’m a counselor for 7 merit badges and I can work with them (minus the affected scouts I previously mentioned) in Legacy.

@RonaldBuck- mbc work should be done with the mbc menu in legacy scoutbook

The MBC work being in legacy does need you to have a connection as an MBC.

I would love to do that, except that Scoutbook won’t let me add myself as a counselor to this handful scouts that are in my own troop. I can do this for older scouts with no issues.

@RonaldBuck- a key 3 should be able to connect you or you can connect with the scout last name and member id number. I have done that successfully.

Additionally an MBC and ASM have no inherent permissions in scoutbook plus.

We’ll see if key 3 can add me as MB counselor for these scouts. New system is definitely frustrating. Makes me want to go back to paper records for everything.

@RonaldBuck if you are already connected to the Scout the search will not find you - go to your connection in Legacy - Find Scout - check MBC and the right Merit Badge

@DonovanMcNeil There’s the problem. I’m connected now in Legacy, but when I click on the scout or on the connection icon, I get the error message I first mentioned. I have some level of connection, but Legacy won’t let me access the scout to see what I’m allowed to do.

Our SM manually added me as MBC for affected scouts and now I can at least register their progress. Better than nothing, but still going to be an issue moving forward.

@RonaldBuck- you should not be using the connection but the menu i posted.

Still get errors when I go this direction…..
In Legacy, went to Administration→My Account→My Connections→
I can see that I’m linked with the “problem” scouts with “view profile” and “appove xyz merit badge”. However, when I attempt to open the scout, I still get the same error.

The only thing I see different from the newer “problem” scouts to our older scouts is that the newer scouts I only have “view profile” but everyone else I have “full control”. I suspect the root of our issue has something to do with this basic difference at the root level of each of our newer scouts.

The pathway via My Connections, while apparently commonly used, was not intended to be the way to get to them for MBCs. As Stephen noted, you should not be using that method to access requirements as an MBC.

The scouts, once connected to you as an MBC, will appear when you select “Edit Merit Badges for MB Counselors” under the MC Counselor section on My Dashboard in classic Scoutbook then select the relevant badge. You will only be able to mark them as Counselor Approved from that interface, IIRC.

For unit scouters marking something as Leader Approved (vs Counselor Approved), they would use the usual method to approving requirements/badges in SB+.

That shouldn’t matter as long as you’re connected to the scouts as an MBC. I’ve counseled scouts outside of my own unit for which I didn’t have Full Control just fine.

I understand that I need to be going through the MBC pages to manage requirements for scouts. With the role manually added by key3 earlier today, I can do this for the affected scouts at this time. Unfortunately, I still cannot access the scouts at this time to assist with other entries for these scouts at the troop level. Short of finding proper documentation somewhere that shows what is needed, we’re just going to have to grind it out with trial-and-error.

Are you talking about adding rank advancement requirements and so forth? SB+ does not use the permissions from classic SB, so that’s the root issue (assuming I identified the correct context for your question). The process for Unit Key 3/Key 3 Delegates to set those permissions for scouters are described in detail in the PDF and video linked in the blue banner at the top of the page. Note that this is not something that can be done by Scoutbook Unit Admins. They whys and wherefores are all covered in the video and banner text.

Legacy worked just fine without Plus being forced on us before it was ready for production. Honestly, at this point I’m so fed up with Legacy vs Plus I’m going to finish this class I’m running and then stop doing digital entries altogether until only one of these 2 systems exists. Our advancement chair will just have to catch up everyone’s books and everyone will be getting paper blue cards from me. Chasing people down to help manage permissions for 2 different systems that kinda-sorta talk to each other is ludicrous. Signing advancement and MB should not require this much troubleshooting.

@RonaldBuck- what are you trying to do in plus?? If you are only doing merit badge work as a merit badge counselor that is still in legacy in the MBC menu. I have had no issues and an MBC working in the MBC menu. If you could please outline EXACTLY what you are trying to do we can get you and the key 3 pointed in the right direction. But here is the deal..scout advancement is in Plus and MBC (as merit badge counselor ONLY) is in legacy
