Emails Not Sending from Scoutbook+ to Large Groups

I tried to send emails to all the parents in my Pack (57 recipients), but the messages weren’t coming through. I got the confirmation that the email was sent, but no one received it. Tried two more times, still nothing. I sent the email to myself, and it worked. I sent the email to myself and one other person; it worked. I sent it by Den, so at most 13 recipients, and each of the 6 messages worked.

Seems to be something stopping larger recipient groups from going out.

@JeremyGinsberg- that is a known issue and previously reported

Expanding on Stephen’s comments, the current recommendation for a work-around while the issue is worked by the developers is to use classic Scoutbook messaging.

As always watch the change log topic for update on when this issue is fixed.

These types of known issues that are high impact to the organization should probably be broadcasted within the tools themselves. I would bet that 99% of Scouting volunteers don’t visit these forms and its too clunky to know what is and isn’t working. Additionally, so much has moved off Scoutbook Classic, that newer volunteers don’t even know about it, especially for the Cub Scout program.

The folks who make those decisions aren’t on these forums. It might be worth pushing up via the councils that there’s a need for the unit leadership be kept informed on these issues somehow aside from the forums.

I appreciate the feedback, but I believe this is also a significant issue. Are the councils not being notified of problems so they can communicate them down to their volunteers? It seems there is a breakdown in communication, both literally and figuratively. Asking a single volunteer to escalate a national issue to our local council, especially when it is a known problem that has been previously reported, is not an effective approach.

The SUAC can advocate for certain things, but we don’t have any decision making authority. If the councils also advocate for it, it will likely be prioritized higher.

We do not know what councils are and are not made aware of. You will need to bring this up with your Council staff if you feel it is a big enough issue. The SUAC has done what it can to try and get additional notification of issues.

I had always used Legacy Scoutbook for my messaging but it failed to send last night so I tried Scoutbook Plus to find that it wouldn’t work either. I’m in the same situation as Jeremy where I’m trying to send to my entire troop. I’ll try legacy again to see if it wants to work today.

I’d like to circle back to Jeremy’s original suggestion that known bugs like this should be surfaced in the tool. If it’s an issue that affects everyone, the council shouldn’t be involved at all. There should be a banner at the top of the Messaging page that says that there is a known issue affecting messaging, here’s the problem, here’s the workaround, and, ideally, here’s a link to find out more such as when it’s expected to be fixed.

Update: I was able to send from Scoutbook Legacy but I noticed that some of the features there have been removed since last month like creating lists and adding the Youth Safety footer. At least it still has the “Insert Upcoming Events” button.

@WilliamDonkervoet- the banner is something that in fact few people actually read, and if they do they mis-understand.

As Ed indicated, SUAC has already exhausted their avenues to lobby for expanding the breadth of notification. The only avenue to exercise at this point is to reach out to our respective council professional staff to ask them to lobby for broader notification (or to disseminate notifications that they receive to unit leaders, assuming any such notifications are being made).
