I have a new scout to my Pack that transferred in from a different unit. That unit had issues with scoutbook and did not enter the completed requirements into Scoutbook or Scoutbook+ for the 2023/24 and 2024/25 program years.
I am trying to enter these now, so that the scouts records are as close to correct as they can be, however with the new system, I am unable to enter the previous Bear rank requirements. And since they do not line up well, I am unable to even add a completion date for the Bear rank as the required adventures are not completed.
How is it best to get these old items into the database so the scouts history is correct?
@JosephDitch for cub scouts it really does not matter for history purposes - But I would just ask council to use Registrar tools to enter the overall ranks - not the adventures
It does matter as we use it to generate other awards etc in the future, and it would allow the scouts to always be able to get proper reports in case they need to replace items due to loss, etc. I get it doesn’t matter to National, but to the units and scouts it does. It also assumes that our council who allowed the original unit to not record anything for 2 years and has the information anyway to do what it hasn’t done.
@JosephDitch - the cub scout adventures are not restricted items so there really should be no issue to replace lost items. I am surprised though that the prior unit reported nothing to council about advancement. I would ask though what other awards would you be referring to?
I make AOL arrow awards that are wrapped with colors that are unique to what each scout has done in the past. Having accurate records helps that process for the den leaders and scouts to be able to determine what colors and how much is wrapped.
The unit did go through council for the awards, just sent in a shopping list, and it obviously wasn’t recorded. Council and the unit had many repeated issues with getting the leadership into scoutbook and scoutbook plus, and they ultimately gave up.
In order to enter old advancement from the current program you need to move the Scout’s to a den of that rank. After you enter their advancement, return them to their current den. Use Edit Den in Scoutbook Plus to do this.
It is no longer possible to enter advancement from the old Cub Scout program. Those had to be entered by December 31, 2024.
I already did that for the Webelos rank for the scout, but Bear is the old program. I know it isn’t possible with the current system, but I have a clear case why it SHOULD be possible to enter. It isn’t the scout’s fault, nor my fault that I am in this situation, and I would like to get the records to be accurate. The fields are in the database, and the functionality in other areas to do multiple versions is also there, so this should be something that could be possible.
