Incomplete Records on 2025 Newest Version of Scoutbook

I am the Committee Chair for Troop 829. After the recent changes to Scoutbook, many of our Scouts’ Individual Advancement Records under Troop Reports are missing huge chunks of completed requirements for Scout, Tenderfoot, Second and First Class, although the Rank completion date is included. Two records completely omit listing Star and Life rank requirements, jumping from First Class to Eagle. The requirement description for Eagle Palms is the one from before August 1, 2017, requiring the Scout to wait 3 months after earning his Eagle to receive his first Palm. Is this something I can fix? @JudithSmith1 what we have seen is often the gaps occur when the unit enters data for 2 versions of a rank at the same time into system - you can post Member # of effected Scouts (no names) and the rank issues along with the REF # at bottom of report and we can take a look

@JudithSmith1 and does Scout History Report show the same

Scout #141187407 just passed his LIFE BOR but has no listing of requirements for Star or Life. I fortunately had printed up his Scoutbook Individual Advancement Record from the previous version of Scoutbook when he still had one more requirement to complete. His Tenderfoot requirements have no completion dates listed except for the rank completion date. All of his requirements completed before December 2024 were earned and recorded in troops overseas. REF # PD-20250514151938-861174-282851.

Scout # 134171292 is also missing a listing of Star and Life Requirements. His record shows the incorrect requirement for Eagle Palms. REF # PD-20250514191943-702815-218813.

Scout # 135337078 also just passed his Life BOR but the date hasn’t been entered yet. The completion dates of some of his Tenderfoot and many of his Second and First Class requirements are missing.
REF # PD-20250509172357-176253-304716.

I have six more Scouts with variations of these missing completion dates, but their Individual Advancement Records include the listing of Star and Life requirements.

All of the missing completion dates were included in the previous version of Scoutbook records.

@JudithSmith1 I think a fast screenshare might also help me get a little more data if you have a moment

OK I think I see some of it

It looks like if you run from Unit pages it misses stuff - but from Scout Page it gets it all - odd as it is the same report and same system - but reported

Listing wrong reqs for Palms is knows

I have a flip phone so can’t send you a screen shot, but I can scan and send you these three Scoutbook records if you want.

I also noticed blank areas in individual advancement reports. Just ranked a scout to 1st class and wanted to print a copy of advancement and Star and Life was listed but had no requirements listed. Another scout is a Star scout but all of his 1st class req are blank.

@DennisWalgamuth - what happens if you go to the scout page then run that same report from there?

I was in Scoutbook and went to reports, individual advancements and that’s what I got.

@DennisWalgamuth you mean you went to Scoutbook > UNIT > Reports? or Scoutbook > Unit > SCOUT > Reports? The Scout Reports seems to be correct though it is being looked at

Donavan, you may see a different version of Scoutbook records than I do. When I sign on to Scoutbook, I go to My Units, click on that, then get a menu of 13 topics to choose from, Troop Roster, Send Message, Quick Entry, Troop Reports and nine more. If I have rank or merit badge completion dates to record, I go to Roster and enter them there. It populates to the Individual Advancement Record under Troop Reports. The Star Scout who has no requirements listed under Star or Life ranks passed his Life BOR 5/16. He now has completion dates listed for both ranks, but no completed requirements date. I don’t see a way to go Unit>Scout>Reports. Judy Smith

@JudithSmith1 do you know how to go to a Scouts page to enter individual Advancements? on the scouts page there is a Report Option - try there is my suggestion or post the Member # (no name) and we can look

@JudithSmith1 - if you are only entering completed dates for rank then that would be the only data there. You would need to be entering the dates for requirements in order to see them populated.

We are looking at different pages. I have been going to each Scout’s page under Troop Roster to enter Individual Advancements, then going back to the menu I described earlier, where Troop Reports are listed three below Troop Roster. That is where many of the completed rank requirements are not listed, and Star and Life ranks are missing all the requirements. I’ve made many entries in Activity logs but never used the Reports option listed below. That is at the bottom of a list of 11 options. Now that I’ve opened that Reports section, I see the correct and complete version of all completed rank requirements. Why are there TWO Report options? Any why is the Report option on the first page I come too after I click on my unit full of inaccuracies. Shouldn’t both Report options be the same? Judith Smith

Yes they SHOULD be reporting the same (lol as they are the exact same report) - it is being investigated why they are not - but the one from the Scout Profile Page seems correct

I go to unit, reports, individual advancement report, click individual scout or all unit. It’s not the same for all scouts.
I went to patrol and that seems to have all the information in it.
