Advancement Records Missing

Second class advancement records and a few first class [dates] are missing for SB User 12131331

I cannot find any patterns on the missing data but it appears records between 10/15/22 and 2/16/23 have been deleted. He was also the SPL and his status has also been changed.

This happened over the holidays and I do not think anyone was using it. Would like to know if you have any recommendations for a fix.

There was a fix for scouts with 2 versions of the same rank that went wrong - items are being restored - I will add this user as a test case

@shuiab what precisely is missing? What rank completions (that is the important thing for record).

Dates for when we finished those activities are missing. I hope nothing else.

This problem is back again -
I cannot see the dates for the advancement records when I print out the records.

That scout seems to have 2 versions of 2nd class in the system - one complete and one started - the only thing that matters is the finish date of a Rank - once the Rank has a complete date that is approved, the requirements are mute. What are you trying to do?

You noted the Scout has two versions of 2nd Class. Frankly, that points to a significant issue with Scoutbook itself. Why does the system even allow duplicate, conflicting entries for a core advancement like a rank? This seems like a fundamental data integrity problem that could easily lead to the kind of data loss we’re experiencing.

To be perfectly clear: the issue is not just about the final rank completion date being present, as you suggested. The problem is the disappearance of the specific dates when individual requirements for Second Class and some First Class requirements were completed (roughly Oct '22 - Feb '23). These dates were in the system, they disappeared around the holidays, you indicated they were restored after the January incident related to a faulty fix, and now they are gone again.

You asked what we are trying to do. We are trying to use Scoutbook as the single source of truth for advancement, replacing paper records as intended. We need those individual requirement dates visible and persistent for accurate record-keeping, for Boards of Review, and simply to trust the platform. When data we entered correctly vanishes, it completely undermines the purpose and reliability of Scoutbook. This isn’t just an inconvenience; it erodes trust.

We need more than just knowing the rank is marked “complete.” We need the historical data restored and an explanation for why this keeps happening . What steps are being taken to fix the underlying cause – whether it’s the duplicate rank issue or something else – to ensure data entered into Scoutbook remains permanently and accurately recorded? We are also now hearing concerns from other Scouts potentially experiencing similar data loss, which deepens our concern.

Please prioritize restoring the missing requirement dates for user 12131331 and address the root cause of this recurring data loss.

Is it a specific report?
On the [Scout]'s Advancement page for a specific rank?

Thanks for following up. The problem is the completion dates are missing for many Second Class and some First Class requirements for Scout BSA ID 12131331.

These dates are missing from roughly Oct 15, 2022 - Feb 16, 2023, on the Scout’s advancement page and in reports. It’s not just one or two specific requirements, but a range of requirements missing dates within that timeframe. This exact pattern happened before in January.

I have provided a screenshot showing complete requirements with blank date fields if helpful. I cannot get any more specific than this, and I hope this information helps you get to the bottom of the problem.

What is the REF number at the bottom of that report?

I’ve tried twice to start from the beginning to see if I get a different result, but that is the history for the whole troop.

@shuiab No Scouts are selected - “Scouts: None”. - use the Pencil to select a Scout

@shuiab - what Donovan was stating about the rank and mb data is that the final completed/earned date is what is recorded at council/national. The requirements are local to the scout and unit. Not every unit records the requirement completions nor do all units use scoutbook and may only upload completed dates to the advancement database.

@DonovanMcNeil Any updates of when the lost data will show up again? Not rushing, just wanted to find out when I can expect a fix and see the missing dates again.
