Merit Badge Counselor cannot be assigned

I’m a Scoutmaster and am preparing for our upcoming Court of Honor. In going through completed Merit Badges that had not yet been approved, I found one that was marked completed but for which there was no MBC assigned.

I went back through my other records and determined who the MBC was who approved the badge. The MBC was assigned in Legacy Scoutbook, and the MB was completed, back in mid-January. It seems that the MBC assignment was lost in the transition to Scoutbook Plus.

I am unable to reassign this Counselor to the MB in Scoutbook Plus. When I try, I get the following error:

“Error person does not have a previous Person Position record - person: 135118014”

I’m not sure whether it’s related, but this MBC had briefly let their SYT lapse but renewed in order to help this Scout complete this particular MB. The renewal happened prior to me making the assignment in Legacy Scoutbook in January.

@KristopherGiesing - is the mb completed or not you state two different conditions of the mb. If you have a complete blue card just mark the mb done and approved. If the mbc is in your council you can check the mbc report in my.scouting.org in organization manager then reports. If they are not listed then that would explain the error message. Can not assign to a non-existent mbc

@KristopherGiesing that person is not a registered MBC it is expired - they would need to register

@Stephen_Hornak The MB is completed but not approved, as I stated in the OP.

@DonovanMcNeil In that case, the MBC search function should not return this Counselor, or the resulting dialog should indicate that the MBC is not active rather than producing an opaque error.

In addition, the fact that the Counselor is not registered now should not have caused the records to be lost that she was the one who approved the badge.

I’ve resolved the issue by recording the approving MBC in a comment, but the process should be improved going forward.

What process did you use to try to assign the MBC?

When I try to assign an expired MBC, I get a message that says “Person is not counseling this merit badge or search parameters are not accurate. Please check your search criteria”

I navigated to the Scout in question, then to their [Pending] Merit Badge page, then switched the filter to “Completed” and clicked the specific MB. Not sure if there is any other way to reach that page.

To attempt to assign the MBC, I did a search by first and last name plus email address. The search returned the counselor I was looking for, with a badge showing their “MB Counselor” status, and a valid SYT expiration date. The “Assign” button was enabled, but clicking it produced the error message I listed earlier.

I am the Unit Advancement Chair as well as the COR delegate and seem to have all the permissions. However, since last weeks migration I have not been able to assign a MB Counselor. Just get an error message saying I don’t have the correct permission. Any thoughts o how to fix this?

Today neither UAC nor COR Delegate can assign MBCs to Scouts. You need to be Key 3 or Key 3 Delegate. There is a story in the backlog to allow anyone who can search for an MBC to assign. This will include UAC, Advancement Approver/Editor, Unit Support and Sub-Unit Support permissions.

Isn’t a COR delegate a Key 3 delegate?

No, COR Delegate lets you approve adult applications. Basically it only gives you permissions that are unique to the COR, not permissions that are shared between Unit Leader, Committee Chair and COR.
