I serve as the Advancement Chair and need to print the “To Purchase” list of Awards/Adventures. I do not want to add them to a Purchase Order yet — how can I print this list?
I would also like to group the awards/adventures by Den, since that’s how we distribute them at our Awards meeting. Each Den leader submits their awards/adventures, and I verify that the lists match. How can I generate the report in this format?
For #1, When I go to the Scout Shop and actually buy the Belt Loop (or award) then I move it to the PO. This signifies I actually have it on hand. If it is not on the PO, then I do not physically have it. This comes in handy because the scout shop periodically does not have some of the Loops so I have to go back, sometimes 2, 3 or 4 times. Doing it this way quickly lets me know what I have purchased and what I still need to purchase.
Is there a better way to track what I physically have on hand versus what I still need to buy?
@TimothyGutierrez- what I have done is put everything on a PO, go to the shop with my printout… check off what i was able to get.. very rare that they would not have anything, but if they did not I would remove it from the PO. Close the one where I have everything then open a new one for the items not found on the last visit.
Thanks. So no way to do it digitally. I actually bring my laptop and pull Belt Loops at the Scout Shop with my computer as it is close to real-time. No printouts. And I visit the scout shop multiple times leading up to an awards ceremony as the Scout Shop is on my way home. So multiple POs would confuse the heck out of me. One PO per Awards Ceremony and one Advancement Report per Awards Ceremony. Makes it clean. And yes, the Scout Shop is out of stock on items many times. Depends on when all the Packs in the area hold their awards ceremonies.
Since you gave me that Pack Recognition report I do see an error. When I pull a Pack Recognition report, one AOL does not have Knife Safety. On the “To Award” tab (under Advancements Tab) it shows he earned Knife Safety and it should be awarded. I checked and it is marked as Approved , but not Awarded under his profile and the Completion Date falls within the search criteria (I searched from 1 Oct to present and he earned 8 Oct). Any idea why the Pack Recognition report drops Knife Safety from the report but the “To Award” tab shows it needs to be awarded?
@TimothyGutierrez- on the PO there can only be ONE open PO. So you close the one that has everything purchased so you are left with items to be added to a new PO. The process worked well for me. Not sure about the missing item as I no longer have a pack. You may want to work with dates and the check boxes to see if it shows up. Beyond that if you post the member ID of the scout the SUAC folks can take a look at the database.
I have noticed that awards/advancement for Scouts with Memberships lapsed were being excluded from some reports. I hope this is not standard and they are working to fix. But wanted to say that this scout is eligible to renew with an expiration of 31 Dec 2025. So that should not be the issue.
