Scoutbook Roster Cleanup. Okay to end Membership for scouts who are not continuing?

We still have a number of scouts listed in Scoutbook who left the troop last year. In the past, this was automatically resolved when the Council processed the re-charter, removing scouts not included in that year’s charter. Unfortunately, this didn’t happen this year.

As it stands, Scoutbook is now cluttered, making it harder to get an accurate count of our active scouts and impacting communication. Additionally, scouts who have left the troop are still receiving troop emails, which they shouldn’t be.

As the troop’s Membership Chair, would it be okay for me to manually go into each of these scouts’ profiles (for those who have left) and add an end date under their Membership? I assume this will remove them from the roster on Scoutbook.

If memberships ended 12/31 their grace period should be ending in a few days (90 days) so you could just give it a week

Okay, sounds good, I can wait! Thank you! I am not sure if all of their memberships started/ended on 12/31 though. I’ll have to check on that. In general, should I then wait for their membership to expire? Will they be automatically removed? Will in that case the parent receive multiple emails about renewing their membership? They are all marked as “Opted Out”.

We have confirmed everyone’s status back in October/November of 2024. We have submitted our Unit Renewal on December 10th, 2024. It was processed on February 26, 2025. Yet, I’ve heard some parents still receive emails about needing to renew their son’s accounts as late as March 15th. This is another side that I need to learn how to operate. It would seem that I have to watch for each scout’s and adult’s membership expiration date and submit something to the Council before the date… Things seem to be more and more complicated every year :slight_smile:

Unit renew has nothing to do with the individual memberships anymore - other than the unit actually existing. SB+ Relies heavily on Real Memberships - so what is on the my.scouting.org Roster (the real roster) is what SB+ uses.

You can add end dates for the scoutbook memberships if you don’t want to wait for the grace period to expire. Although, I don’t believe that will remove them from calendar events.
