Scoutbook Scout Access Allows Edits to Advancements

I consider myself a fairly fluent Scoutbook user but have only had experience at the Cub level. We just transitioned to Scouts BSA and I’m now learning the ropes for the older Scouts. I’m exploring giving my Scouts their own my.scouting accounts, linked to their own emails, so they can access their own Scoutbook+ profiles, calendars, and advancements. I was incredibly surprised to see that when logged in as my Scout (not as me who is listed as their Parent and Unit Scouter Reserve on the Troop Roster), the Scout profile is able to access their Advancements and mark things as completed and approved! Is this a known issue? Or something that needs to be updated by a Troop Admin? Shouldn’t Scout Advancement only be approved by a Patrol Leader, Senior Patrol Leader, Assistant Senior Patrol Leader, or an adult role (e.g., Advancement Chair, Scoutmaster, Assistant Scoutmaster). Asked differently, why doesn’t Scoutbook block a Scout from marking all of their own advancements. What am I missing?

I have only seen scouts be able to mark their own advancement as complete, which is similar to saying they are ready to be tested.

@SherifFahmy1

The mark as approved check box should be grayed out so that it cannot be changed.

@SherifFahmy1 - perhaps a screenshot of where you are seeing your scout approve items.

See screenshot below. Logged in with my son’s my.scouting account into Scoutbook plus and was able to mark this advancement requirement as complete. and as approved. Doesn’t seem appropriate to me.

How do most Troops handle this? I don’t this this should be marked by the Scout at all. I think the best process would be for the Scout to approach their PL/SPL/ASPL saying they have done a certain requirement, the PL/SPL/ASPL test them, then the PL/SPL/ASPL should mark the completion date. Then the Advancement Chair should go through as part of their process to mark them as approved. This is the way we did it Cubs except that the Den Leaders marked completion. And the Advancement Chair went in and approved so they could generate their reporting on what advancements/ranks need purchase at the scout store.

.

As Ed noted above, scouts aren’t supposed to have access to that box (it should be grayed-out). Looks like a bug to me.

The intended default functionality as I understand it is the scouts are able to click “Completed”, which is intended to indicate to scouters reviewing the record that the scout is ready for testing. Then, the scouter tests (or verifies testing by someone else) and marks it Approved.

What happens if you try to save it with the box ticked? Does it throw an error message, or does it actually show up as Approved? Also, does that particular scout have Approve Advancement permissions assigned in SB+?

@SherifFahmy1 what is the MEmber # of that Scout (no name)? is the requirement still in that state?

When I try this I see the Approve checkbox - but it errors

@SherifFahmy1 - did the scout click on save

I have asked why the checkbox is even usable even if it errors

This is happening for both of my sons. Member IDs 137426263 and 137426272

No I don’t want to save it because I don’t want to interfere with an uncompleted advancement.

@SherifFahmy1 - if they click save it should produce the error that Donovan posted.

Thanks Donovan. Interested to hear more. I would think that the Mark as Completed box shouldn’t even show up for Scout accounts but that’s just me giving my 2 cents.

@SherifFahmy1 - the ability to enter the date complete is just like the scout handbook. The approval check box however is what should not be actionable except by those with the appropriate permissions

Sorry to use this topic - but I am unable to find the create new post button.

I was connected to Scout Book through my grandson (as a volunteer) - but no longer. The Scoutmaster is trying to reconnect me. I have a 7 digit number on ScoutBook. However, the SM thinks I need a longer number. Is there another way to find my registration number? Or does one perhaps need leading zeroes? Thanks. Gary

@GaryNovack your 7# is correct - ending 3091. Your SM is wrong.

Thanks for the quick response. I will get back to the SM

you can see it also logging into my.scouting.org. Depending on the relationship type you are trying to setup council might be a better choice. If it is a guardian situation I would start with council.
