I am hearing from several of our leaders that youth who have renewed are appearing in Scoutbook with a message of “_____ has not been matched with a Scout in your unit’s official roster. Please check with your council.” Is there something I can do on my end at the council level to assist or is there something they can do on their end in Scoutbook?
I recommended that the leader click on the Scout > Scout’s Membership > Click on the current Membership > Uncheck Position Approved > Update. Then have them go back in and check the Position Approved checkbox again > Update, but I haven’t heard if that worked.
@CynthiaRuiz there seems to be some issue with Registrations that go past their expiration date into the grace period and then renew then - it is being investigated.
Anything to do in the meantime or do the leaders just have to wait?
@CynthiaRuiz They can try resetting the Scout’s membership in Scoutbook (legacy).
- To do this, have a unit Admin (Troop / Pack / Crew / Ship) click on the Scout’s current membership.
- Make sure the box is checked next to “Position Approved”.
- Click “Update” to save.
This might revolve the issue in most cases.
Okay that is basically what I advised them to do, just hadn’t heard if it worked or not. Will this only work for members who have renewed?
Any idea on when a fix will be coming for this issue? Donovan mentioned it being an issue with registrations to go past their expire date, but in some of my cases, the renewals were completed prior to the expire date.
It worked for me on scouts whose renewal had been submitted but not approved. I’m not sure when it doesn’t work though as some people have reported it did not work for them.

So this worked for some of our leaders, but I have a unit it didn’t work for. Any other suggestions?
@CynthiaRuiz If you have access to the Volunteer Support Tools, you can find the user in Scoutbook, and then do a position Sync from Person Record. If there are too many to do one by one, then it might be better to submit a help ticket to the Scoutbook team.

@CynthiaRuiz if PERSON has memberships like this - it is a known bug - with a one month membership - then an 11 month after that
This is the one I did a sync for yesterday. Looking at his profile in my.scouting it does show a one month term along with the new term 2/2025-1/2026.
@CynthiaRuiz that looks like the Scoutbook Screen - what is the MID (no name) and we can take a look.
@CynthiaRuiz this scout has a bug that will not let a sync bring them back - the bug is being investigated
So if I run into other members with the same issue just assume it’s the bug and all will be fixed soon?
If you want we can setup a screenshare (if council allows) to show you what to look for.
I would love to do that, but I work on a desktop computer and don’t have access to a camera/microphone. When are you available? I can see if I can borrow someone’s laptop.
