I would like to allow my Scout Webmasters to manage our unit’s calendar in Scoutbook similarly to how we’ve empowered them to create/update events in Google calendar. My Webmasters are able to create & update events, but they are unable to invite people and manage notifications as a result.
Has anyone else tried to do this, and were you successful? Any pointers would be most appreciated!
Key 3 can give Scouts that permission under Unit Permission Manager in SB+.
Hi Donovan,
So, I am both a K3 delegate & SM. Here’s my permissions on an example youth:
Calendar:
Messaging:
Should I be looking somewhere else?
You shouldn’t need both of these. As SM, your permissions are the same as a Key 3 Delegate (since SM is one of the Key 3). I’ve had situations where doubling up on these (i.e. Key 3 registered position and a Key 3 Delegate functional role) has caused permissions issues that impacted the ability to set permissions (among other things).
ETA: It also takes overnight sometimes for assigned permissions to stick.
The permissions for Youth are specific and Say For Youth
Hi! Thanks for noting that. As it turns out, I am not both K3 & SM. I was K3 delegate when we were transitioning from our previous SM to me. Once I was officially SM on the roster I was removed from the delegates.
@AllanShort - and i am reasonably certain that the calendar editor position in legacy scoutbook is of no consequence.
These are the key spots:
Beyond that the scouts should be in advancements.scouting.org and NOT legacy scoutbook

Hi Stephen - I will try to locate those in legacy Scoutbook, thanks.
The only place I seem to find anywhere to set permissions is Permissions/Role Manager in advancements.scouting.org. The assign position tab basically mirrors my.scouting’s organization manager setup as far as registered & functional roles for adults.
View Permission/Position also only shows me adults.
I can assign permissions to youth in Assign Permission, and that’s where the screenshots I put into an earlier reply were from.
Where do I set permissions for youth roles? I thought that was a thing at one point…..
@AllanShort - ok I do not understand this
where do i set permissions for youth roles
@AllanShort - just make sure that your scouts are logging into advancements.scouting.org otherwise things will NOT work
Hi Stephen!
So in SB+, View Permission/Position only shows me adult committee members on my roster. No youth in there.
Where do I set permissions for youth roles? For example, where can I see/set the slate of permissions given to a youth that holds a named position of responsibility in the unit? I want my Scribe to be able to send messages out, take attendance, etc. Webmasters should be able to manage the calendar including invites and notifications.
That’s what I meant. Is there a place that I am missing where that is accomplished? Or, is it all in the combination of what is given under the Assign Permission tab? Inside Assign Permission I only 3 assignable to youth - Calendar, Messaging & Advancement.
@AllanShort - the permissions related to youth are the sections that are highlighted in my screen grab i posted.
It looks like your screen grab is from advancements.scouting.org also, and are the same set I have.
So, to recap, Johnny Scout is a webmaster. I want him to be able to create & manage calendar events in Scoutbook+. This includes including all our unit contacts as invitees and setting reminders. What I experienced last night was Johnny was able to create new events, but he could not manipulate the invitees or do anything with reminders since he couldn’t invite anyone.
Under Calendar (assignable to youth) for Johnny Scout, he has these positions/roles:
Webmaster
Scouts BSA
Calendar Editor
Scout Requirement Editor/Approver (NO SM)
Second Class Requirement Editor/Approver (NO SM NO BOR)
Tenderfoot Requirement Editor/Approver (NO SM NO BOR)
Youth Member
And only Troop is checked, since we only use a unit calendar.
Under Messaging (Permissions assignable to youth) he has the same roles listed and Message Create is checked, but it’s a greyed out checkbox. Is that because it’s inherited from somewhere else?
Where are those positions/roles coming from?
@AllanShort - I do think the message section is inherited but since it is checked then do not worry about that. On the event section were they doing this on a phone ? The functionality is better on a pc or laptop as the view is better.
It was on a Chromebook. Basically a laptop.
@AllanShort - so this section was missing ?
No, it was present, but clicking on anything in there did nothing. It was all greyed out for him.
I have also read the permissions doc linked from this thread and have a solid understanding of how permissions have been migrated into SB+ last November:
