Lost parent connections in Scoutbook Plus migration

Hello - 10 of my 21 Scouts have recently lost connections with parents in Scoutbook Plus. These parents show as connected in Legacy Scoutbook but are absent from Scoutbook Plus and are not receiving unit communications.

Example: ID 14375728 has 2 parents in Legacy and only 1 parent in SB Plus.

@DonovanMcNeil In the example above, the adult is listed in SB legacy as a parent and holds the position of committee member. He has the double linked chain.

How do I make him more of a parent than he already is?

Is this just a do-over and I need to re-establish parent relationships in SB Plus? I would need to call all the parents to get birth date information as well as get Scout and Adult IDs by clicking back and forth between SB legacy and Plus - this is a fair amount of work.

How would my neighboring troop know how many adults they lost in SB Plus without doing a person by person audit between SB Legacy and Plus?

@BrianCope1 Legacy is near dead - we recommend not using it unless you have to. Did you look at the instructions in the link I provided? The Parents now are only the official parents for scouts in their registrations. You can go to Reports > New Roster Report > click all Scouts and the Show Parent Relationships checkbox to get a full list

@BrianCope1 - an already established parent relationship can add the other parent as in theory they should know their date of birth. The only thing the existing parent would need to know is the Member ID number. If the other parent does not have am member ID they can create one in my.scouting.org.

Is it possible to have a report in Scoutbook Legacy enabled that will show us this same Parent Relationships report that we can run in Scoutbook Plus, so we can make direct contacts to parents and work to get them reconnected.

For example, I have 1 youth with 0 connected adults, and another parent with “changeyouremail@scoutbook.com” as the email address listed, but I’m sure that hasn’t always been the case, but the only way I would have ever found this was to run the report as you described above. I’m a veteran Scoutbook user and I never knew that this was an issue, and since there is no consistent method of communicating with Key 3 about Scoutbook changes (and I’ve been Key 3 since Scouting purchased Scoutbook), this is never anything that was on our radar.

@TimothyCooper as stated before - Legacy is essentially dead - use the report in SB+.

The best place to see the legacy parent connections is in legacy messaging. You can see a consolidated list of official parent relationships using the roster builder by selecting all of the scouts and “show PG relationship”.

@TimothyCooper When you see changeyouremail@scoutbook.com, it usually means that the user has a duplicate e-mail in the system somewhere. In some cases it means that the user has a duplicate account.

I understand that, but that goes back to my point: Why was that account the one that remained? And I have the older child in my unit, so that should also have had the “oldest” version of a duplicate parent account, so why was the email changed and the “good account” deleted?

I wouldn’t assume that the “good account” was deleted. Many times, the other account(s) still exist. It’s difficult to say without looking at a specific case.

Unfortunately, I just confirmed it was. @jacobfetzer pointed out looking at Legacy Messaging shows legacy parent relationships, which is helpful but woefully inefficient. But, I did look at youth with member ID 132261920 who has 3 adults connected, with the father showing a Rick and a Richard account. The Rick account has the full home address and accurate phone number, but has the changeme.com email address, while the Richard account has no street address, no telephone number, but the correct email address. Meanwhile, in Scoutbook Plus, which account is there? The Richard account with the changme.com email address, and no mother parent at all. So, since we were forced over to Scoutbook Plus, this family has not received any of my weekly messages, including the one where I recognized their Scout for completing his Eagle Board of Review. Radio silence since SBLegacy messaging closed.

Scout 136457835 transferred to my unit in April 2026. He showed 2 parents in SBLegacy, including the mother who initially reached out to see about how to handle the transfer, along with the father who I also met in person. I had zero reason to anticipate issues with messaging in SBPlus. Today I learn the last email she received from me was May 17, the last day I used SBLegacy Messaging. Only the father made the transition to SBPlus.

I do data reconciliation all the time in my day job. I understand the difficulty of managing databases, and I work with dozens of vendors managing their needs for different formatting and the need to de-duplicate accounts. I can’t imagine the difficulty of managing this on the scale of Scouting America. But I also am an avid Key 3-level Scoutbook user since the acquisition. There has never been messaging to Key 3 about a need to reconcile accounts, either from National or our local council. There hasn’t been functionality to reconcile accounts. Units are quite literally working blind. Units like mine and others are in this system all the time but have no indication that this is as bad as it is, until we stumble upon the realization that a spouse or friend isn’t receiving message any longer, which is only 1 small layer of the onion.

It makes us look inept in a time when the organization can’t afford that.

We had a couple like this in my unit at one point.

This sounds kinda like the original youth application was submitted with the father’s nickname and the street address, but no email address (or a mis-typed/mis-transcribed email address) for the parent. Subsequently, another account was created in classic SB with the dad’s email address and full name, but none of the address information. Similarly, the mother’s data likely was based on the creation of a classic SB parent connection for her which doesn’t create an associated record/relationship in Akela for various reasons.

In SB+, it’s reading the data from the Akela database (where relationships are officially documented by Scouting America), which apparently only shows the full first name but doesn’t have the email or street address data. That seems odd to me, but it kinda depends on where that data originally came from.

We had to go through and update all of our parent connections at one point prior to the changeover (as noted by Donovan above), and routinely need to add a second parent in SB+ (or explain to connected parents how to do so). It can be a ton of extra work when there are lots of new scouts at one time, but it only needs to be set up once if done correctly.

All of that doesn’t make any of this less frustrating, but it does seem consistent with what you’ve posted. The SUAC volunteers may (or may not) be able to provide additional details for this specific case, depending on what’s visible in the system they have.

@TimothyCooper - the addition of connections for parents and guardians and other family members in legacy was a literal dead end when the move to relationships was made. The relationships that are in plus are what shows when the council looks at the scout record. I made sure on seeing the notice in the forums about relationships to make sure things were valid. Continuing to use Legacy after the transition only compounded the issue.

This user is fixed.

I’m working on fixing the account for the mother. She has 2 usernames (logins) at my.Scouting.org. They are:

  • MothersfirstnameLastname
  • ScoutsfirstnameLastname

I would recommend keeping the one with the mother’s name as the username, because I think it will be less confusing for her.

Regarding 136457835, there should also be an account for the youth as well. I have the youth’s email address if that helps verify data. If you’re sure that isn’t the youth’s username to Scoutbook, go ahead and delete it, and I’ll contact the parent and update them.

For setting up Login / myscouting usernames - this is useful to keep to avoid wrong accounts being setup - especially for scouts.

That has become clear to me now, but again, one shouldn’t have to troll forums or continue to reread previously published Help Docs or User Guides to become aware of changes to a service, especially changes that remove a significant percent of users without any notice to Key 3.

The youth already has a username. The username has sign in with Google turned on, using the Dad’s e-mail address.
