New Merit Badge Counselors not on Roster Report

Since the transition to scoutbook plus I have noticed that when running the roster report it will reflect all of the “historical” counselors and badges they support, however, for counselors that were recently added it will not show any of the badges they support. I called the council office and they confirmed the applications were processed and they are valid counselors.
Is there a work-around or new process for this?

@JeffreyScroggins by Roster report - do you mean a Custom Roster Builder Report? or post a screenshot of where you are accessing the report

@JeffreyScroggins - for context a merit badge counselor is not a unit position. If someone who is registered in the unit also applies to be a mbc then it would show on the report. If by chance they received a different membership number for the mbc role then they will not show either

Yes, a custom roster report. After clicking “Reports”, “Custom Reports”, “+ New Report” it will open a new window “Roster Builder Designer” where you can select “Merit Badge Counselor Options”, “Show Merit Badges”, then Save/Run the report as CSV.

@JeffreyScroggins - you can also get a list of mbc from the reports section in my.scouting.org from the organization manager

@JeffreyScroggins we would need the REF # off the Report, Unit # and the Member # of a missing MBC

@Stephen_Hornak can you share a screenshot and/or steps to get to the org mgr and reports section? I don’t see it on my.scouting.org. Maybe I don’t have permission for that. I see this:

@DonovanMcNeil Our troop has an ASM that assigns counselors and handles blue cards (that’s me). I ran into an issue with scoutbook+ and wasn’t able to do that but found another thread that mentioned that is resolved by being a Key3 delegate. I shared that with the SM and after he made an adjustment I can assign, however, I spoke to the council office and they said that Key3 delegate is done in my.scouting.org (and that is not been done for me to my knowledge). Suspecting that if that was done then I’d see those reports there; does that sound right?

@JeffreyScroggins If you could provide the member ID numbers (no names, please) of one or more MBCs and the names of the merit badges that are missing from the custom Roster Builder report, that would help a lot with troubleshooting.

The reference number (ref: PD) will be at the bottom of the report when you run it. It will look similar to this:

@JenniferOlinger I just called the council office and confirmed this MBC had an approved application on 6/1 where these MBs were added (none of them show on the report for this MBC):

@JeffreyScroggins so we are totally clear - on report - reference number: PD-20260701112717-506371-775410 - does the user appear? do they show as MBC? is it just no MBs are listed?

And as it is a MyScouting report for only Council users - Council should really send in a National MEmbercare ticket for it - with all the details.

@DonovanMcNeil @JenniferOlinger This is a custom roster report in scoutbook+. I don’t currently have access to the MB report in MyScouting.

Correct the user appears. There is a column for training and a column for Merit Badges. 13985864 has training listed but nothing in the merit badge column.

@JeffreyScroggins - have one of the key 3 pull the report from my.scouting.org. the mbc data is being pulled from my.scouting.org is what Donovan is pointing out
