Hello, on January 1 Scouts who are no longer active with our unit suddenly showed up on our roster. Two are Scouts who crossed and are currently active in the local troop, and one of them was only registered for a brief time in 2022. These, along with another Scout who transferred this summer, are all now on all of our calendar items for the year. I am not able to remove them. When I click “Edit,” it shows 55 youth. When I hit save and look at the calendar, it shows that there are 59 youth on that calendar item. They are all getting email notifications and are not pleased, but there is nothing I can do about it.
If you post the BSA IDs (no names , please!) for those scouts, the SUAC may be able to look into it.
Are they appearing on your official roster at my.scouting, too, or just at Scoutbook Plus?
I’m having a similar issue in my pack. Scouts who expired more than 90 days ago no longer appear on the roster (neither at My Scounting, nor at Scoutbook Plus), but still show up as invitees in calendar events. As noted by OP, if you go to edit the event, they disappear, but always show back up when looking at the event information. For den meetings, for example, when I edit the event there are 19 youth invited, but when I go to event information there are 27 youth invited (including 19 active scouts, 6 scouts who have expired but are within the grace period and still appear on the My Scouting roster, and 2 scouts who are beyond the grace period and aren’t on any rosters). Example IDs: 140570205, 140570215.
It would be nice if all 9 scouts who have left could be removed, but even just the 2 scouts who are beyond the grace period and off the official roster would be a step forward.
Thanks for anything you can do to investigation this issue.
They are appearing in my roster on my.scouting:
140595587 (moved and transferred to another Cub Scout pack in the summer)
13471698 (crossed in the spring and is active in a troop now)
137401523 (crossed in the spring and is active in a troop now)
140864506 (registered for a short time in 2022 and then dropped)
I think this one might be a grace period issue.
Instead of transferring from troop to pack, a new BSA member ID number was created in the same council. The Scout is in the grace period with the pack under BSA 13471698. The Scout is registered with the troop under BSA 140852725.
Similar situation as above. Scout is in the grace period with the pack under BSA 137401523. Scout is registered with the troop under BSA 140855185.
Scout was originally registered in 2022 under BSA 14598971. Scout was later registered with the same pack under BSA 140864506. This second registration is current and expires 02/28/2025.
Interesting. All of these just showed up on January 1 (except the one who transferred to a new pack this summer, which has been an ongoing issue). When I look at the two who transferred to the troop, I see their troop registration as well as their pack registration in Scoutbook. The final one did not re-register with the pack, so this is very strange. We haven’t heard from them since 2022.
@JenniferOlinger could you take a look at the two BSA IDs that I provided as well? I’m fairly confident those scouts expired in Sept. and did not transfer, so they should be outside the grace period by now.
@WhitneyD I agree those should be past the grace period now. Could you provide your member number, the pack number, meet date/time, and meeting name?
@jacobfetzer My BSA ID is 140570189. Pack number is 287.
All meetings on the calendar appear to be affected. For example:
Name: Den Meetings
Event Type: Pack Meeting
Start Date: Jan 13, 2025 @ 07:00 PM
It appears that creating a new event is a workaround, but deleting our entire remaining program year’s worth of events and then re-inputting them would be pretty labor intensive.
I’ve reported these details to the developers.
I have the same issue with my pack - with old scouts no longer in the program showing back up after the new year. This seems like a big (National?) system wide-issue. Is anyone going to automatically resolve this or do we need to work with council to clean it up?
The calendar attendees issue has been going on as well outside of this. It is a mess. Are developers ever going to make these tools work for their volunteers. This was reported as an issue last year.
If the scouts are appearing on the official roster at my.scouting, that’s something the council staff have to either resolve internally or push to national for resolution through their connections. If it’s just scouts who aren’t on the official roster but are appearing on the invitees list, that might eventually be resolved through whatever reporting SUAC has already done.
@MichaelCasella The SUAC agrees that we need better ways to exclude scouts who are no longer active. We have discussed with the developers, but I don’t know exactly how it might look or when it will be available.
