Unable to renew my membership due to multiple positions?

I am having trouble renewing my Scouts BSA membership and I hope to get advice from others after consulting my Council without a resolution. My BSA Number is #135046328. When I login to my.scouting.org, I am prompted to renew my positions. I have multiple positions (Committee Chair, Den Leader, Assistant Scoutmaster, Unit Scouter Reserve, Committee Secretary, possibly more) in four different units, both troop and pack. When I try to renew, I get this error message on the “Leader Requirements” screen after typing my signature:
Something went wrong

Error Code: The given fkPersonPositionId must have a valid date range, not be deleted, have AdvancePayReCharter set to false, registration status different from 1771 (Unpaid) and not be a functional position. - fkPersonPositionId: 166278480, Message: Bad Request

I went to the Council office and renewed in-person and paid. They “pushed” through my renewal from the back-end and they provided me confirmation.

My problem: The my.scouting.org system is STILL showing me as expiring incorrectly as 12/31/2024 even though I am renewed through 12/31/2025. The manual processing happened weeks ago so I don’t think this is a synchronization issue. All the unit renewal reports in Scoutbook are also showing me as expiring soon.

I have been going back and forth on this problem with my Council office but they don’t have any advice except to “wait and see”. Does anyone have any ideas of what the problem could be and how to fix it?

@ShirleyHou did the various CORs approve the renewals? they still have to do that

It’s my understanding that my four units have the adult renewals on auto renew, but it’s worth me double checking.

The error code mentions something about “not be a functional position.” I wonder if I am removed from all functional positions whether that would fix the issue? As you can imagine, trying to communicate with the CORs of four units to test any hypothesis is a headache.

bad timing - but is a council question really - I recall the auto-adult - but was VERY surprised with the idea when it was announced - as even in old recharter the COR signed off on all names

My Council office told me there is a bug with some profiles that hold multiple positions. Without further assurances, the default is wait-and-see. I’m worried that 1/1/2025 I will fall off the rosters and I cannot perform my duties, including my own unit recharter.

I confirmed that I’m not holding any functional positions, just registered positions. When I click on “Create Renewal Orders” I get an error, “Failed to create renewal orders.” Note that I am actually renewed already, but I’m willing to renew twice (and pay twice!) to get it correctly displayed on my end.

I don’t know if this is the issue or not, but all of your registered positions are supposed to have the same end date.

That is an interesting hypothesis. I became a Unit Scouter Reserve off-cycle with that troop. I reached out to T88’s COR to get removed from their roster. I can always add back later. Fingers crossed!

Your council might be able to change the expiration date to match the others.

Update: I removed the Unit Scout Reserve position (the one with the different expiration date from the others), waited overnight, and then tried to renew again. Same error. Will see if Council needs to do something on their end.

I’m still open to all hypotheses. Thank you to all who have responded.

The 2 MBCs confuse me

@ShirleyHou - I too am confused by the duplicate MBC position. That is something to address with council as I am showing only one MBC position for myself.

I have been told that multiple positions renewing is a known issue at National. For me, I hold 6 roles, but inly my primary (district commissioner) renewed. I sed this as a problem for leaders who serve Key 3 roles in multiple units (such as CC in both boy and girl troops). Mmy understanding is that the unit with a Key 3 leader who has not been renewed will not be able to renew - is that correct?

I would expect that to be true. You might best be able to get a clear answer on this from your council professional staff, who should be able to get an official answer from national on that. For the sake of clarity, the SUAC has previously stated that all questions and bugs related to registration/rechartering should be directed to the council professional staff, since only they have the ability to file MemberCare tickets and bug reports with the relevant national support team.

That said, you should be able to coordinate with your registrar to renew your other positions manually as multiples, although that may require the COR for your respective units to approve each position renewal. It’s not clear (to me at least) how manual renewal of “multiple” positions plays together with the approval by your COR. I don’t know it multiplying (?) you into other roles adds those to the online queue for COR approval (assuming your council/COs/units permit online applications).

You might need “paper” application signatures from each of your CORs to get the Registrar to renew everything. I’d reach out to them directly to find out, and check whether a PDF scan of the form signed by each COR would work.

My council has been saying pretty much that this is s problem at the national level, they are working on it, and… not much else.

I can go check, but believe my roles are multiples, so am a bit unclear on what exactly I would do to make the processing any different.

We have a bunch of adults in our district who serve in Key 3 roles in two or more units - I’m thinking this is a real problem, unless national isn’t all that concerned about units renewing after their expiration date.

NCAC , Chain Bridge District (now Four Mile Run District) is one of the biggest districts in the country, so perhaps the issue is more visible for us - but I would guess it hits other districts as well,

Yeah, I’m certainly not arguing it’s anything other than a significant issue, if I gave that impression. Unfortunately, the folks here don’t have access to the team/developers at national that manage the registration system, so all issues have to be worked through the scouters’ respective council professional staff.

One advantage to communicating directly with your registrar on the renewal of your multiples is that they can tell you what they will accept as sufficient evidence from your respective COs/CORs that your renewal is acceptable for their unit(s), and they should have the ability to renew those positions directly (at least, based on what I’ve been told as a unit- and district-level volunteer scouter) with the COR’s approval. The registrar may need a signed “paper” renewal (paper being in quotes, since they might accept a scanned copy) for each unit/position, or might be able to accept an email approval (or even push the multiple renewal out to the unit CORs for approval). You can also ask them to talk to whomever has been communicating with national from your council on the issue to find out whether “fixing” things manually on the council end will foul up whatever investigation of the bug is ongoing. I suspect not, but that’s something only the folks who are actually doing the investigation can answer (and since they will only talk to the relevant professionals at the councils…).

Best of luck getting it resolved! If you and the registrar do manage to figure out a council-side fix (rather than the BSA fixing things globally at the national level), it might help other folks if you could post the work-around here so folks know what you/the registrar ended up doing. It is, as you pointed out, likely a widespread issue that others have to be facing and it may help move things along for others to be able to say to their registrar “Here’s a thread in the Scoutbook discussion groups that explains what another registrar did to work around this. If there isn’t enough detail, you might be able to reach out to them via the professional discussion groups to get more info.”

Having similar issues. Council has only been able to submit a help ticket with national (not the best experience IMHO). It’s been 24 days without even an explanation or recommendation from national on how to fix this. I’ve taken the stance that my primary position is paid for and supposedly renewed so if council/national can’t figure this out and fix it for my multiples they most not need my help at the district or council level any longer.
